Responsibilities
Client Success & Customer Service
Respond professionally to customer
Follow up with prospective customers
Conduct customer retention and reactivation calls
Introduce and educate customers about daycare and spa memberships
Convert inquiries into memberships whenever appropriate
Encourage satisfied customers to leave Google Reviews
Record customer interactions within the CRM
Build lasting relationships with pet parents
CRM & Administrative Support
Upload and manage vaccination records
Verify vaccination compliance
Maintain accurate customer and pet profiles
Perform data entry with exceptional accuracy
Generate operational reports
Maintain organized digital files
Assist with administrative projects
Marketing & Communications
Email
Create and schedule campaigns using Mailchimp, Constant Contact, or similar platforms
Build and segment customer
Create newsletters and promotional campaigns
Track campaign performance
Direct Mail Marketing
Prepare customer mailing lists
Export customer databases into CSV and Excel files
Clean and verify mailing data
Perform mail merges
Upload mailing lists to direct mail vendors
Coordinate postcard, flyer, and promotional mail campaigns
Membership Growth
Support business growth by:
Following up on customer inquiries
Educating customers on membership benefits
Promoting Spa Club memberships
Promoting Unlimited Daycare memberships
Re-engaging inactive customers
Identifying opportunities to increase customer lifetime value
Business Development
Research referral partners
Build prospect lists
Support outreach campaigns
Identify local partnership opportunities
Future Growth Responsibilities
As our business grows, you’ll have the opportunity to take ownership of our digital marketing efforts.
Responsibilities may include:
Managing
Using Meta Business Suite
Scheduling and publishing social media content
Creating graphics with Canva
Assisting with Reels and short-form videos
Monitoring comments and customer engagement
Supporting Meta advertising campaigns
Coordinating seasonal promotions
Growing our online community and brand awareness
Qualifications
Required
Minimum two years of experience in a Virtual Assistant, Customer Success, Customer Service, Administrative, or Marketing Support role
CRM experience (Gingr, DaySmart, HubSpot, Salesforce, or similar)
Experience with Mailchimp, Constant Contact, or similar
Experience preparing CSV files for bulk
Strong Microsoft Excel and Google Sheets skills
Experience with Mail Merge
Excellent written and spoken English
Professional phone presence
Comfortable making outbound customer calls
Strong organizational and time management skills
Ability to work independently and proactively solve problems

Basic photo and video editing
Customer retention or inside sales experience
Pet care, veterinary, hospitality, or service industry experience
Experience using AI tools such as ChatGPT to draft
