JOB OVERVIEW

Summary
D&B Builders is seeking a proactive, detail-driven Business Operations Manager to support our growth in the residential and commercial renovation space. This person will work alongside ownership and oversee administrative operations, project coordination, vendor communications, and internal systems — including managing and improving the performance of our current remote admin.

We’re looking for someone who thrives on ownership, can build and run systems, and is excited about using technology — including AI tools — to increase efficiency and reduce manual workload.

Key Responsibilities
• Project Oversight: Monitor job progress, coordinate follow-ups with subcontractors and vendors, and ensure projects stay on schedule
• Lead Management: Track incoming leads, ensure timely follow-ups, and maintain CRM records and pipeline health
• Vendor & Client Communication: Build relationships, manage updates, and handle negotiation and issue resolution
• Purchasing & Planning: Create itemized material lists, confirm delivery schedules, and maintain procurement timelines
• Team Oversight: Supervise and support our current virtual admin, improving accountability and coordination
• Marketing Support: Coordinate basic marketing activities (email, social media, etc.) and ensure follow-up on inquiries
• Calendar & Email Management: Organize internal communications, manage appointments, and ensure deadlines are met
• System Building: Develop and refine workflows for estimating, project tracking, and internal processes

Preferred Qualifications but will not limit hiring.
• 1+ years in operations, project coordination, or administrative leadership
• Experience in construction, remodeling, or a related field is a major plus
• Familiarity with CRMs, project management tools, and remote work platforms
• Experience managing or working alongside virtual assistants
• Strong written and spoken English
• Must be available during U.S. Eastern Time business hours
