ABOUT BRIDGEWELL TRUST
BridgeWell Trust is a membership-based workforce and business exchange that connects small businesses (“Builders”) with vetted workforce members (“BridgeCrew”) for clearly scoped, dignified, paid gigs. We build the trust layer that makes this work: structured onboarding, vetting coordination, documentation standards, communication protocols, and quality assurance so the system is safe, repeatable, and measurable.

ROLE SUMMARY
We are hiring a Virtual Program & HR Operations Coordinator to help build and operate BridgeWell’s 90-day pilot foundation. This role is primarily HR operations and program administration. You will coordinate onboarding, vetting workflows, member records, member communications, and internal documentation. Grant writing may occur, but it will be led by BridgeWell leadership; this role supports coordination, formatting, and documentation.

This position will interface frequently with business members (“Builders”), workforce members (“BridgeCrew”), and program partners. The ideal candidate is organized, discreet, calm, and able to build systems that are easy to follow.

KEY OUTCOMES (FIRST 60–90 DAYS)
1. Establish a repeatable onboarding workflow for both Builders and BridgeCrew (intake, checklists, orientation scheduling, documentation).
2. Implement a member tracking system (recommended tool + workflow) that allows leadership to see status at a glance.
3. Create core HR/process documentation: SOPs, templates, scripts, and a consistent communication cadence.
4. Stand up a vetting coordination workflow (background checks, fingerprinting, and drug testing coordination pathway), including vendor research and a recommended process for leadership approval.
5. Maintain high-quality program administration: timely inbox responses, clean records, and clear escalation notes.

CORE RESPONSIBILITIES
HR Operations and Member Management
• Manage onboarding for two member types (businesses and workforce members): intake forms, checklist completion, orientation scheduling, and documentation follow-up.
• Coordinate vetting steps and track completion status (background checks, fingerprinting, drug testing coordination), maintaining confidentiality and access controls.
• Maintain accurate member records, including contact info, onboarding status, vetting status, and participation logs.
• Support HR-style issue documentation: capture concerns, track follow-ups, and escalate to leadership with clear written summaries.

Program Operations and Administration
• Create and maintain core program documents (policies, SOPs, onboarding packets, templates, member-facing instructions, agreements).
• Support gig workflow administration: ensure gig templates are complete, scope is clearly defined, key documents are in place, and close-out steps are documented.
• Maintain the program calendar and task tracker; attend weekly operations meetings and produce meeting notes + action items.
• Support dispute-resolution administration by organizing documentation and timelines (leadership makes decisions; you maintain the record).


Systems and Tooling (Important)
• Recommend and implement a simple, secure system for tracking members and program activity.
• Preferred: Airtable or similar database tool; acceptable: Google Sheets + shared drive structure.
• Create a basic internal dashboard for leadership: member pipeline, vetting completion, active gigs, and exceptions/escalations.

Vendor/Process Research (Pilot Phase)
• Research and propose practical options for background checks, fingerprinting, and drug testing coordination appropriate for the Richmond, VA area.
• Draft a recommended workflow and vendor comparison for leadership decision-making.
• Note: you will coordinate; you will not be required to be onsite.

Communications and Relationship Support
• Monitor and manage the program inbox (and any assigned accounts), ensuring professional and timely responses.
• Communicate with Builders and BridgeCrew regarding next steps, missing documents, scheduling, and expectations.
• Maintain outreach templates and program update messaging (leadership-approved messaging).

REQUIRED QUALIFICATIONS
• 3+ years experience in HR coordination, recruiting coordination, program operations, nonprofit operations, or executive/operations support.
• Strong English writing and editing, especially for SOPs, policies, onboarding instructions, and professional emails.
• High attention to detail; comfortable handling sensitive/confidential information.
• Ability to follow and build SOPs, meet deadlines, and track work cleanly.
• Professional communication skills; able to work with diverse populations respectfully and consistently.
• Strong spreadsheet skills (tracking, logs, status boards).

REQUIRED TOOLS/SKILLS
• Google Workspace (Docs, Sheets, Drive, Calendar)
• Excel/Google Sheets proficiency
• Comfort learning new systems quickly
• Basic document formatting (professional PDF output, templates)

PREFERRED (NOT REQUIRED)
• HR/people-ops experience (onboarding, HR documentation, HR inbox management)
• Experience supporting workforce programs or community-based initiatives
• Familiarity with background check coordination workflows
• Airtable (or similar database) experience
• Project management or quality assurance training/certifications

CONFIDENTIALITY AND SECURITY REQUIREMENTS (NON-NEGOTIABLE)
• Must sign NDA and IP/confidentiality agreements.
• Must use 2-factor authentication and follow access-control rules.
• Must be able to work securely with sensitive records (no public/shared devices; no unauthorized file sharing).
