About Onespot

At Onespot, we help schools manage communication, billing, payments, and custom mobile apps. We’re growing quickly and are looking for someone to take ownership of payments and billing operations so the founders can focus more on growth and product.

This is a highly operational, customer-facing role that combines payments, billing, customer success, and financial operations.
This is not a standard support, bookkeeping, or BPO-style role where every workflow and process is already fully documented and established. You would play a major role in helping build and shape Onespot’s payments operations department as we scale. That means helping create workflows, SOPs, operational systems, reporting structures, and efficiencies alongside the founders — not just following existing instructions. We are looking for someone who is excited by ownership, problem-solving, and helping build operational infrastructure in a fast-growing startup environment.

Core Responsibilities

1. Onespot Payments & School Support (External)

Become the internal and external expert on the Onespot app, Onespot Payments & Stripe
Help onboard schools into Onespot Payments
Configure and manage payment setups
Follow up with schools to ensure successful adoption and usage
Monitor onboarding progress and proactively resolve issues
Comfortable professionally pushing schools to complete onboarding and operational tasks
Run and understand Stripe Sigma queries
Monitor payment activity and identify inconsistencies or unusual trends
Assist with QuickBooks reconciliation and financial workflows
Identify schools not actively using payments and keep them engaged for future upgrades

2. Customer Communication & Operations (External)

Write professional customer support emails
Take calls with customers to help them understand their payment structure and workflows
Explain billing structures, fees, refunds, ACH vs cards, and payment workflows clearly
Reduce founder involvement in day-to-day payment operations
Improve systems, workflows, SOPs, and operational processes
Coordinate with internal product/engineering teams on payment-related issues
Help build operational infrastructure as the company scales
Document workflows and operational processes
Create SOPs and internal documentation
Build repeatable operational systems
Identify inefficiencies and operational bottlenecks

3. Billing & Financial Operations (Internal)

Invoice schools on behalf of Onespot
Manage billing primarily through Stripe
Track payments, renewals, outstanding balances, and collections

4. Ideal Qualifications

Experience with Stripe, QuickBooks, or financial operations
Excellent written and verbal English communication skills are a MUST
Extremely organized and detail-oriented
Comfortable handling customer-facing finance conversations
Strong systems/process mindset
Comfortable working independently in a fast-moving startup
Able to work well under pressure
Strong follow-through and ownership mentality
Comfortable working with large financial datasets and payment volume
Technical enough to work with dashboards, Sigma queries, spreadsheets, exports, integrations, and basic troubleshooting
