Linehaul Solutions is seeking a proactive and detail-oriented Administrative Coordinator to support our growing operations. This role is integral to ensuring smooth day-to-day processes, managing administrative tasks, and assisting in operational efficiency. The ideal candidate will thrive in a dynamic logistics environment, contributing to our mission of delivering excellence in linehaul operations.
Key Responsibilities:
Scheduling & Coordination:
Organize and maintain driver schedules and route plans.
Coordinate dispatch activities, ensuring timely communication between drivers and operations teams.
Data Management & Reporting:
Update and maintain databases related to run assignments, leased equipment, settlements, and safety records.
Generate reports on driver performance, compliance, and fleet management metrics.
Compliance Support:
Assist in monitoring compliance with FedEx contractor requirements and other regulatory standards.
Maintain accurate records for hours of service (HOS), vehicle inspections, and driver qualifications.
Fleet Operations Assistance:
Support fleet maintenance scheduling and ensure records are kept up to date.
Collaborate with operations to reduce downtime and improve route efficiency.
Communication Hub:
Act as the central point of contact for dispatch teams, drivers, and management.
Manage internal communications to ensure seamless information flow across teams.
Administrative Tasks:
Prepare and organize documents, including contracts and operational manuals.
Oversee insurance records and other licensed software requirements.
Requirements:
Proven experience in an administrative, operations, or logistics support role (2+ years preferred).
Strong organizational and multitasking skills, with keen attention to detail.
Excellent communication skills, both written and verbal, in English.
Proficient in productivity tools like Notion, Canva, Google Workspace (Docs, Sheets, Slides) and task management systems (e.g., ClickUp, Asana).
Tech-savvy, with the ability to quickly adapt to new software and tools.
Knowledge of logistics, dispatching, or fleet management is a plus.
Nice-to-Have:
Experience in the logistics or transportation industry.
Familiarity with FedEx contractor operations and compliance standards.
Background in analyzing operational performance and suggesting improvements.
Familiarity with fleet management tools
