We're looking for a highly organized, detail-oriented Administrative Coordinator to help keep our
team, clients, and systems running smoothly.
This is a long-term role with significant growth opportunities as the company expands.
Your Responsibilities
Client Onboarding & Setup
? Create new client accounts in our CRM (GoHighLevel)
? Set up Trello boards and project management systems
? Organize client folders and documents
? Coordinate onboarding requirements with clients
? Ensure all onboarding steps are completed correctly
Client Communication
? Monitor client Slack channels
? Turn client requests into actionable tasks
? Assign work to appropriate tea
? Follow up on outstanding items
? Ensure nothing falls through the cracks
Administrative Tasks
? Create and manage contracts
? Maintain company databases and spreadsheets
? Keep project management systems organized
? Schedule meetings and coordinate calendars
? Track client deliverables and deadlines
Google Business Profile & Local SEO
? Learn how to optimize Google Business Profiles
? Update business information
? Schedule and publish posts
? Upload and geotag photos
? Assist with local SEO implementation
? Help maintain Local Service Ads accounts
Operations & Process Management
? Build and improve SOPs
? Document company processes
? Create checklists and workflows
? Assist leadership with special projects
? Help improve efficiency across the company
AI & Technology
? Use ChatGPT, Claude, and other AI tools daily
? Create prompts and workflows
? Help automate repetitive tasks
? Learn and implement new software quickly
Requirements:
Must Have
? Excellent English (written and verbal)
? Extremely organized
? Strong attention to detail
? Reliable internet connection
? Ability to work 9-5 EST
? Ability to work independently
? Strong problem-solving skills
? Comfortable using AI tools
? Positive attitude and willingness to grow
