== THE POSITION ==
As an Administrative Assistant at a leading business leadership coaching company, you will play a crucial role in supporting the client with daily and weekly administrative tasks.
Your responsibilities will include managing schedules, coordinating client communications, organizing documentation, and ensuring seamless day-to-day operations. Your efficiency and attention to detail will be key to maintaining organization and supporting the success of the coaching business.
-> Requirements:
• Experience in client management, onboarding, data management, inbox and calendar management, and lead generation.
• Hubspot experience is a must.
• Must have a strong administrative background, high attention to detail, and the ability to work collaboratively.
• Available to work full-time (40 hrs/wk).
• Can work during standard US business hours.
• Fast, stable internet connection (Minimum download speed 10 Mbps)
• Working computer/laptop (Minimum Requirement: Processor - Intel i5 or equivalent, RAM - 8GB).
• Backup power source or work location for power outages.
-> Nice to Have:
• Experience with social media marketing & content creation is preferred but not required (training will be provided).
• Experience with website & SEO maintenance is preferred but not required.
• Experience with Quickbooks is preferred but not required.
-> Responsibilities:
Duties and Responsibilities include but are not limited to:
• Manage client follow-ups and track their progress throughout the coaching journey.
• Oversee course setup, scheduling, and participant coordination to ensure smooth delivery.
• Maintain and update the CRM with client data, course details, and assessments for accurate record-keeping.
• Create and schedule
• Organize and prioritize
• Identify and engage potential clients through LinkedIn and networking efforts.
• Oversee private community memberships and manage profiles on the Exit Planning Institute while researching relevant courses.
• Prepare and send proposals and agreements to clients in a timely manner.
• Support social media marketing and content creation.
• Handle invoicing and payment processing through QuickBooks to ensure financial accuracy.
• Maintain relationships with clients for post-sale engagement and referral opportunities.
• Assist with website updates and SEO maintenance to enhance online visibility.
