Job Title: Administrative Assistant
Flexible work schedule. Hours may vary. Beginning with 5-10 hours per week during the training period. May increase over time up to 15-25 hours per week if successful in the role.
Credit Union Wealth Group (CUWG) is a Registered Investment Advisor (RIA) that specializes in delivering wealth management services to members of credit unions. We pride ourselves on delivering personalized, high-quality financial guidance and investment management for individuals and families. We are seeking an administrative assistant to join our team to assist in client service and business operations.
Position Summary:
We are seeking a detail-oriented Administrative Assistant to support our financial advisor team by handling various administrative and operational tasks. This role will not be client-facing. The focus will be on back-office responsibilities such as completing forms, entering data into our CRM, facilitating money movement, and taking notes during internal meetings. The ideal candidate will be organized, dependable, and capable of managing multiple tasks with accuracy and efficiency. The candidate should have previous experience working in financial services and/or with financial advisors. The training period will be included as part of the onboarding process.
Key Responsibilities
- Scheduling & Calendar Management: Coordinate and manage internal schedules, set up meetings, and ensure effective time management for the advisory team.
- Forms Management: Prepare and process client paperwork, applications, and other financial documents accurately and in a timely manner.
- Data Entry: Maintain and update client information in the CRM system, ensuring data integrity and compliance with firm policies.
- Money Movement Support: Assist in initiating and tracking wires, transfers, and deposits, following strict protocols to maintain accuracy and security.
- Meeting Coordination: Participate in internal tea
- Document Organization: Maintain an orderly electronic and physical filing system for quick reference and compliance purposes.
- General Administrative Tasks: Perform additional administrative duties as needed. Work with advisors on operational projects focusing on automation, efficiency, scalability of services, and risk controls
Qualifications & Skills
- High school diploma or GED required; associate’s or bachelor’s degree in business, finance, or related field preferred.
- Ideally of several years of administrative experience in financial client service, RIA experience is preferred. Experience & ability to work independently in a remote environment. Reliable and punctual.
- Tech savvy - Ability to learn software systems. Proficiency in Google Suite (Gmail, Drive, Docs, Sheets, etc.); Proficiency in Microsoft Office Experience; CRM software (e.g., Salesforce, Redtail, Wealthbox) is strongly preferred.
- Strong organizational skills and accuracy in handling data, documentation, and transactional work.
- Excellent written communication for note-taking and documentation.
- Ability to prioritize tasks and manage deadlines effectively in a fast-paced environment.
- Willingness to collaborate with the advisory team and other staff members while respecting confidentiality.
- Upholds the highest ethical standards, particularly when handling sensitive financial information.
