About Us

We are a growing New Zealand-based service business seeking a highly organised, proactive, and trustworthy Filipino Virtual Assistant to become a long-term part of our team. This is not a short-term contract role — we are looking for someone who wants stability, growth, and responsibility.

You will play a key role in supporting payroll, administration, bookkeeping, recruitment screening, and building internal systems and workflows as we scale.

Key Responsibilities

Payroll & Bookkeeping
• Process payroll accurately and on time
• Manage timesheets and staff records
• Reconcile accounts
• Assist with invoicing and expense tracking
• Maintain accurate financial records
• Proficiency in Xero preferred

Administration
• Manage emails and internal communications
• Maintain organised digital filing systems
• Prepare reports and documents
• Coordinate schedules and staff documentation
• Improve internal administrative processes

Recruitment & HR Support
• Screen CVs and shortlist candidates
• Conduct initial applicant interviews
• Manage interview scheduling
• Assist with onboarding documentation

Systems & Workflow Development
• Help build and refine internal SOPs
• Create workflow documentation
• Identify inefficiencies and recommend improvements
• Assist in implementing automation tools

Requirements:

• Minimum 2+ years experience as a Virtual Assistant or similar role (Preferred but not essential if you're the right fit)
• Strong payroll and bookkeeping experience
• Proficiency in Xero (highly preferred)
• Excellent written and spoken English
• High attention to detail
• Strong organisational and time management skills
• Ability to handle confidential information professionally
• Stable internet connection and quiet workspace



Preferred (But Not Required)
• Experience supporting New Zealand or Australian businesses
• Knowledge of NZ payroll systems
• Recruitment screening experience
• Experience building SOPs and internal systems
• Familiarity with project management tools (ClickUp, Asana, Trello, etc)
