About the role
We are looking for a reliable, proactive, and detail-oriented Admin & Onboarding Coordinator to support our growing healthcare and NDIS operations.
This role focuses on onboarding support for both clients and workers, administrative coordination, document follow-ups, scheduling, inbox management, and helping maintain smooth day-to-day operations across multiple clients and internal systems.
This is a remote role with the opportunity to grow into additional hours and responsibilities over time.
What you’ll be doing
Supporting client and worker onboarding processes
Following up outstanding documents and onboarding requirements
Managing and organising
Assisting with calendar coordination and scheduling
Preparing, formatting, and organising documents, forms, and spreadsheets
Updating trackers, CRMs, and internal systems
Assisting with invoice processing and administrative support tasks
Coordinating information between clients and internal tea
Conducting light phone follow-ups when required
Supporting process improvement and workflow coordination
What we’re looking for
Strong written and verbal English communication skills
Previous experience in administrative, coordination, or virtual assistant roles
Highly organised with strong attention to detail
Able to manage multiple tasks independently
Comfortable following structured processes and systems
Professional, reliable, and proactive
Strong document formatting and administrative support skills
Experience with
Familiarity with CRMs systems
Comfortable preparing and organising documents, spreadsheets, and forms
Ability to work with sensitive and confidential information professionally
Strong problem-solving and follow-up skills
Work setup requirements (non-negotiable)
Quiet, dedicated workspace
Reliable internet connection
High-quality microphone or headset
Nice to have
Experience supporting executives or business owners
Experience managing shared inboxes and calendars
Previous onboarding experience
Experience in NDIS or similar industries
Familiarity with CRM tools
Important to know
This role starts at approximately 20 hours per week
Additional hours and client opportunities may become available over time
You will be trained on NDIS
This role can grow into a full-time or closing role over time
