We are looking for a detail-oriented Virtual Assistant to support our growing auction company with routine accounting data entry and administrative tasks.
This role supports our principal bookkeeper and accountant. As the Data Entry Assistant, you will be responsible for accurately entering data, following established procedures, and asking questions whenever something doesn't look right.
This position is ideal for someone who enjoys organized, process-driven work and takes pride in accuracy. Training will be provided. We are looking for someone who enjoys learning and following step-by-step procedures.
Responsibilities
• Prepare spreadsheets for import into Xero
• Prepare invoices, bills, and payments in Xero
• Reconcile routine customer payments and Stripe transactions
• Assign transactions to the correct projects
• Follow written SOPs and checklists
• Identify discrepancies and communicate questions promptly
• Help improve documentation by updating SOPs as processes evolve
Requirements
• Basic experience using Xero
• Comfortable working with Excel spreadsheets
• Excellent attention to detail
• Strong written communication skills
• Able to follow documented procedures consistently
• Comfortable learning new software
• Reliable and able to meet weekly deadlines
Schedule
• Approximately 3-8 hours per week (varies depending on workload)
• Flexible schedule

• Daily status updates through Microsoft Teams
