College Career Pathways — College Counseling Practice Website
Remote • Project-Based
Overview
We are looking for a skilled Webflow developer, website designer, and systems integrator to build a polished, professional website for College Career Pathways — a premium college counseling practice based in Katy, Texas. We help high school students and families navigate the college admissions process with personalized, organized, stress-reducing guidance.
This is not a SaaS build.
This is not a custom student portal.
This is not a complicated software platform.
We need a beautiful, modern, easy-to-edit marketing website that helps families understand our services, book consultations, sign up, and transition smoothly into our existing counseling workflow. HoneyBook handles our contracts, payments, scheduling, and onboarding. CounselMore handles our student counseling operations. The website connects everything in a clean, branded, seamless experience.
The goal: Integration-ready, not custom-platform.
We want a professional website that works well now, while keeping the structure clean enough to add deeper integrations later if needed. Do not build backend complexity. Do not recreate HoneyBook or CounselMore. Connect existing tools cleanly and leave clear pathways for future additions.
How the Business Works — The Client Journey
Understanding this flow is essential. The website must support every step of it:
Parent finds
?
AI chatbot answers initial questions and routes to booking — Tidio or Chatbase
?
Books a free or paid intro consultation — HoneyBook scheduler
?
Selects a service package
?
Receives contract auto-populated with their details — HoneyBook
?
E-signs contract and sets up payment plan — HoneyBook built-in payments
?
Receives welcome
?
Family accesses CounselMore student portal for all counseling work

Tools We Are Using
These tools are already chosen. Your job is to implement them well, not choose alternatives.
Website + CMS
Webflow — all public pages, CMS collections, and design
Contracts + Payments
HoneyBook — inquiry forms, proposals, contracts, e-signature, payment plans, onboarding automations
Scheduling
HoneyBook built-in scheduler, connected with Google Calendar where appropriate
AI Chatbot
Tidio or Chatbase (developer to evaluate and recommend — see chatbot section below)
Counseling Portal
CounselMore — linked from the site; stays separate at launch
Calendar
Google Calendar via HoneyBook calendar sync
Analytics
Google Analytics 4 + Google Search Console
Email
Google Workspace, already existing
What We Are NOT Looking For
Please do not propose any of the following. These decisions are already made.
A custom SaaS platform
A custom student or parent portal
A custom CRM
A custom payment system or payment plan builder
A custom scheduling system
A replacement for HoneyBook
A replacement for CounselMore
A custom backend or database unless there is a specific reason discussed and agreed upfront
If your instinct is to build something custom that an existing tool already handles — that is not what this project needs. We want clean integrations with great tools, not reinvention.
Website Pages
The first version of the site should include the following pages. We are open to your recommendations on structure if you believe a different layout will convert better. We will provide core business information, service details, and draft copy. We expect the developer/designer to help structure pages for clarity, conversion, and parent-friendly flow. Copywriting or messaging strategy experience is a plus.

How It Works — the college counseling process, step by step
Resources / Blog
FAQ
Testimonials
Contact
Book a Consultation — HoneyBook scheduler embed or link
Get Started / Enroll — package selection leading into HoneyBook contract and payment flow
Client Portal / Existing Client Login — clean branded page linking to CounselMore
Parent / Student Next Steps — what happens after signing up
Homepage Hero — Video Background with Overlay
The homepage hero section should feature a full-width looping video background with an emotional, conversion-focused headline and a single CTA button — similar in approach to what Crimson Education uses at
What to Build
Full-width, full-viewport video background playing silently and looping automatically
Semi-transparent dark overlay on top of the video so headline text is clearly readable
Bold centered headline — example: "Your Student’s College Story Starts Here" or similar emotional, outcome-focused copy
Subheadline below — one line describing who we help and what we do
Single CTA button — example: "Book a Free Consultation" or "Get Started" — linking to HoneyBook scheduler
Graceful mobile fallback — on mobile, replace the video with a high-quality static image so load times are not impacted
Video must be compressed and optimized for web — no large uncompressed files that slow the page
Video Source Options
We will provide professional video footage if available. If not, the developer should source appropriate licensed stock video for our approval before use. Recommended free and low-cost sources:
Pexels
Free. High quality. Search: students, college campus, family, education, counseling. No attribution required. Best starting point.
Subscription ~$15/month. Large library of premium education and family footage. Good option if Pexels selection is insufficient.
Pixabay
Free. Smaller library than Pexels but worth checking for the right tone.
Client-Provided Footage
If Leah has professional photos or video of her own, these should be prioritized over stock — authenticity converts better than stock imagery.
Tone and Feel
The video should feel warm, personal, and aspirational — not corporate or generic. Ideal footage shows:
Students in genuine
Families in conversation — parents and students together, not posed stock photography
Counseling or mentorship
College environments — campuses, libraries, lecture halls, graduation
Avoid:
Generic corporate footage, overly posed stock imagery, footage that feels cold or academic rather than warm and human. The video should make a parent feel hopeful and confident, not intimidated.
Technical Requirements
Video format: MP4 (H.264), compressed for web — target under 8MB
Autoplay, muted, loop, playsinline attributes set correctly for all browsers
No audio track — video is purely visual
Mobile fallback: static image displayed instead of video on mobile to preserve load speed
Overlay opacity and headline font size must be adjustable without a full redesign
Webflow CMS Requirements
This is one of the most important requirements in this entire project. Non-technical staff must be able to update important content without contacting a developer, touching code, or breaking the site design.
Required CMS Collections
Services / Packages
Name, description, price, what is included, payment options, HoneyBook booking link per service, featured yes/no, display order
FAQs
Question, answer, category
Testimonials
Client quote, first name only, optional outcome, optional photo
Resources / Blog Posts
Title, body content, category, publish date, author, featured image, SEO title, meta description
Team Bios
Name, credentials, photo, bio text
Homepage Sections
Headline, subheadline, CTA text, CTA link — editable without touching design
Integration Links
HoneyBook booking URL, CounselMore portal URL, chatbot script ID if applicable — updateable without touching code
Hard requirement — no exceptions:
Do not hard-code service names, prices, package descriptions, HoneyBook links, CounselMore portal URL, FAQs, testimonials, or any frequently edited content into static page design blocks. If Leah needs to edit it, it must be a Webflow CMS field.
If normal business updates require a developer, the project does not meet the requirement.
Leah Must Be Able To Do All of the Following Without Developer Help
Change a service price
Add a new service or package
Edit service descriptions and what is included
Add or edit FAQ entries
Add a new testimonial
Publish a new resource or blog post
Update her bio or team information
Update a HoneyBook booking link for any service
Update the CounselMore portal URL
Edit homepage headlines and CTAs where practical
AI Chatbot Integration
We want to add an AI chatbot to the website to help families get quick answers to common questions and route them toward booking a consultation. This is not a custom build — it should be an existing tool embedded into the site via a single script.
What the Chatbot Should Do
Answer common parent and student questions about services, packages, pricing, and the counseling process
Be trainable on our own content — FAQs, services, pricing, how it works — so answers are accurate and on-brand
Route interested families toward booking a consultation — ideally linking to the HoneyBook scheduler
Appear on relevant pages — Home, Services, How It Works, Contact — not necessarily every page
Work cleanly on mobile browsers
Match the College Career Pathways brand as closely as the tool allows
Recommended Tools to Evaluate
We are not locked into a specific tool. The developer should evaluate the following options and recommend the best fit based on cost, ease of training on our content, HoneyBook handoff capability, and mobile experience:
Live chat + AI bot in one platform. Embeds in Webflow via single script. Free tier available; paid from ~$29/month. Good mobile experience. Can hand off to booking link.
Chatbasechatbase.co
Train the bot on your own content — upload FAQs, service descriptions, and pages. Simple embed. From ~$19/month. Answers accurately from your own materials. Recommended if content accuracy is the priority.
Open source, highly customizable. Free to build; self-hosting or cloud. More setup required but most flexible long-term.
AI-powered conversation builder. Mid-range pricing. More structured flows than Tidio or Chatbase.
HoneyBook native
Check whether HoneyBook offers a chat or lead-capture widget that could serve this function natively before adding a third-party tool.
Developer task:
Evaluate the options above, recommend the best fit with reasoning, and include estimated monthly cost in your Phase 0 discovery deliverables. Implementation should be a simple script embed in Webflow — no custom development. The chatbot tool itself is a subscription the business owner will manage; the developer sets it up and trains it on initial content during Phase 1.
HoneyBook Integration
HoneyBook is the core business operations tool. The developer should not build custom payment logic, contract logic, scheduling logic, or onboarding automation. HoneyBook handles all of that.
HoneyBook Handles — Do Not Recreate
Inquiry forms and lead capture
Scheduling and calendar booking
Package proposals
Contracts and e-signature
One-time payments
Payment plans and automatic installment charges
Payment receipts and failed payment handling
Onboarding
Internal client pipeline and status tracking
What the Developer Builds
Embed or link HoneyBook inquiry form on Contact and Get Started pages
Embed or link HoneyBook scheduler on the Book a Consultation page
Build the Get Started / Enroll flow so it leads cleanly into HoneyBook’s contract and payment process
Ensure all HoneyBook booking links per service are stored in Webflow CMS so Leah can update them without developer help
Style HoneyBook embeds to match the College Career Pathways brand as closely as HoneyBook allows
Test the full client journey end-to-end: inquiry ? booking ? contract ? payment plan ? onboarding
CounselMore — Client Portal Handoff
CounselMore is our student counseling platform. It handles everything after onboarding — student portal, college lists, application tracking, tasks, and document sharing. It stays separate from the website at launch.
At Launch
A clean, branded /client-login page on the website links families to the CounselMore portal. No API integration required.
Developer Task
Build /client-login as a polished, on-brand page with a clear CTA directing existing clients to their portal. The CounselMore URL must be stored as a Webflow CMS Integration Links field so it can be updated without touching code.
Future
If CounselMore offers affordable API or white-label options later, deeper integration can be added on a backend subdomain without rebuilding or modifying any Webflow page. This must be a real architectural guarantee, not just a hope — the way the site is built today must make that future integration straightforward.
Brand Assets & Existing Identity
College Career Pathways has an existing brand identity at
Existing Site to Review
Current website:
Please review this site before your Phase 0 discovery call. The new site should feel like a premium, polished evolution of what exists — not a departure from it. Families who already know the brand should feel immediately at home.
Existing Brand Elements to Carry Forward
Logo
The existing College Career Pathways logo must be used on the new site. We will provide the original high-resolution file. The logo is already live at
Color Scheme
The existing color palette from
Brand Voice
Warm, personal, family-centered, and confidence-building. Key phrases from the current site: 'Clear guidance. Real support. Less stress.' and 'The College Roadmap Every Family Deserves.' The new site should maintain this tone throughout.
Existing Copy
Much of the existing page copy — Ms. Leah's bio, testimonials, service descriptions, and value propositions — can be reused and refined. We will provide all current content for the developer to work with.
Social Profiles
Facebook
What to Elevate
The new site should take the existing brand and make it feel more premium, more conversion-focused, and more modern — without losing the warmth and approachability that defines it. Specific improvements to aim for:
More visual hierarchy and white space — the current site is slightly text-heavy
Stronger calls-to-action at every scroll point — not just at the bottom of the page
Better mobile experience — the current site is functional but not optimized for phones
Hero video background replacing the current static hero — see Hero Video section
More prominent testimonials and social proof
Cleaner service and pricing presentation
Faster load times
Brand Assets the Developer Will Need
High-resolution logo file (PNG with transparent background and SVG if available)
Exact hex color codes for primary, secondary, and accent colors
Current font choices if known — or developer recommends consistent fonts based on existing brand
All existing photos of Ms. Leah and any student/family imagery already owned
All existing written copy from current pages
We will provide all brand assets at the start of Phase 0. Please include a brand asset checklist in your Phase 0 discovery deliverables confirming what you have received and what is still needed before design begins.
Design Requirements
Families visiting this site are making one of the most important decisions of their children’s lives. The design must earn trust immediately.
Homepage hero video background — full-width looping video with overlay text and CTA button (see Hero Video section above)
Modern, clean, and premium — not generic, not template-looking
Warm and parent-friendly — approachable, calm, credible, reassuring
Mobile-first — fully functional and beautiful on iOS Safari and Android Chrome without an app
Fast-loading — optimized images, clean code, minimal unnecessary scripts
Conversion-focused — every page should have a clear next step for the visitor
Trust-building — credentials, testimonials, and social proof placed prominently
SEO-friendly — proper heading hierarchy, meta fields, alt text, clean URL structure
Accessible — follows WCAG 2.1 AA best practices where practical, including readable contrast, alt text, clear form labels, and keyboard-friendly navigation
Please avoid generic template-looking work. We are a premium service business. The design should reflect that immediately.
Mobile Requirements
Parents and students visit from phones. Mobile is not an afterthought — it is a primary design target.
Fast load time on mobile networks
Clear calls-to-action visible without excessive scrolling
Easy navigation — tap-friendly buttons and menus
HoneyBook embedded flows and chatbot must work cleanly on mobile browsers
Forms easy to complete on a phone keyboard
No awkward spacing, tiny text, or broken elements on small screens
Excellent experience on iOS Safari and Android Chrome
SEO Requirements
Clean URL structure
Page titles and meta descriptions for every page
Proper heading hierarchy (H1, H2, H3) throughout
Image alt text on all images
Open Graph images for social sharing
XML sitemap
robots.txt
301 redirects from old URLs if replacing an existing site
Google Analytics 4 connected
Google Search Console connected and verified
Basic local and service-business SEO recommendations provided
Future-Proofing
Build the site so future improvements can be made without a complete rebuild.
CounselMore API integration must remain possible without a site rebuild.
The /client-login page and CounselMore handoff must be built so that a future CounselMore API integration — automated student profile creation, portal invitations, or white-label portal routing — can be added via a backend on a subdomain without modifying any Webflow page. This is a hard architectural requirement, not a nice-to-have. If adding CounselMore API integration later would require rebuilding or significantly modifying the Webflow site, the project does not meet this requirement.
All external URLs — HoneyBook links, CounselMore portal URL, chatbot embed IDs, any future tool links — stored as Webflow CMS fields, not buried in custom code
The /client-login page must be easily updated if CounselMore changes portal options or if we switch counseling platforms
New services, packages, blog posts, FAQs, and testimonials must be addable without developer involvement
New pages must be addable without redesigning the full site
If a lightweight backend is ever needed, it should be addable on a subdomain such as
Do not build unnecessary custom code — keep the Webflow build clean and standard

We communicate clearly, respect your time, and pay on time. We hope you bring the same.
