JOB OVERVIEW

We are a fast-growing personal injury law firm seeking a highly organized Virtual Operations & Project Coordinator to help keep our administrative and operational processes running smoothly.

This role is ideal for someone who has experience as both a Virtual Assistant and a Project Coordinator/Project Manager. You'll enjoy creating order from chaos, following up on outstanding tasks, managing deadlines, communicating with vendors, and ensuring projects move forward without constant supervision.

This is not simply an administrative assistant position. We're looking for someone who takes ownership, anticipates needs, and enjoys improving processes.

Responsibilities

* Coordinate administrative and operational projects from start to finish
* Manage record and document requests, ensuring deadlines are met
* Track outstanding requests and proactively follow up
* Organize files and maintain accurate documentation
* Communicate professionally with providers, vendors, and internal tea ---------- mbers
* Assist with executive administrative tasks as needed
* Help develop and improve workflows and SOPs
* Maintain task lists and ensure projects stay on schedule
* Identify bottlenecks and recommend process improvements

We're Looking For Someone Who:

* Has previous experience as a Virtual Assistant
* Has project coordination or project management experience
* Is exceptionally organized and detail-oriented
* Can juggle multiple deadlines without dropping the ball
* Communicates professionally in writing and by phone
* Is proactive rather than waiting for instructions
* Learns new software quickly
* Enjoys creating systems and checklists
* Can work independently while keeping leadership informed

Preferred Experience

* Law firm or medical office experience
* Google Workspace
* Case management software (Filevine experience is a plus)
* Microsoft Office
* ClickUp, Asana, ---------- , or similar project management software

Hours

Approximately 25–30 hours per week with potential for growth.
