About the Role

This is a **heavily administrative and operational role**. You will be the person keeping the practice organized, accurate, and running smoothly behind the scenes. A portion of this role includes patient-facing communication — scheduling, follow-ups, and emails — but this is **not** a clinical role and it is **not** a social media marketing role.

We need someone who reads instructions carefully, executes them precisely, checks the details before taking action, and communicates proactively. If you do something well, we will give you more. If you need things explained multiple times or prefer to do things your own way, this is not the right fit.

What You'll Be Doing

- Managing and organizing patient records and lists in our CRM (GoHighLevel / Practice Suite)
- Scheduling patient appointments and sending follow-up communications
- Drafting warm, accurate patient-facing emails and messages
- Keeping the back end of the practice organized — tagging, list management, data entry, and record accuracy
- Building and maintaining spreadsheets and trackers
- Scheduling social media posts (this is scheduling only — content is provided for you)
- Supporting day-to-day administrative tasks as they come up
- Sending a daily update of tasks completed

What We're Looking For

- Strong attention to detail — you verify information in the system before acting on anything
- Ability to follow instructions precisely the first time
- Fast turnaround — tasks should not sit for days
- Proactive communication — you don't wait to be chased down for updates
- Experience with GoHighLevel is a strong plus
- Excellent written English — patient communication must be warm and professional
- Consistent availability week to week — this role requires reliability, not availability that shifts with your schedule
- A self-starter who can work independently without constant direction

Hours & Pay

- Part-time to start, with potential to grow
- $5–$6/hr depending on experience
- Weekly invoicing
