About the Role:
We are seeking a reliable, detail-oriented Healthcare Administrative Assistant to support the day-to-day operations of a solo mental health practice. This role is ideal for someone experienced in U.S. healthcare administrative workflows who is comfortable working remotely and independently.
Key Responsibilities
* Verify insurance coverage and benefits, confirm and collect deductible prior to patient appointments
* Collect copays and outstanding balances before scheduled appointments, cancel appointments if not paid, creating cash charge and charging for documentation fees not billed to insurance (short term disability, ESA letters, etc).
* Schedule intro phone call with new patients to collect driver's license, insurance info. Also reschedule, and cancel patient appointments as needed
* Collect and accurately enter insurance and personal information for new patients
* Send intake forms and required paperwork to new and existing patients
* Follow up with patients to ensure timely completion of all forms
* Complete CAQH re-attestations and maintain provider credentialing information
* Remain HIPPA compliant
* Respond to basic patient inquiries in a timely, professional manner
Required Qualifications
* At least 2 years of experience in a healthcare administration role
* Familiarity with EHR systems, (ours is Charm), online billing platforms, and electronic payment processing
* Strong written and verbal communication skills in English
* Excellent organizational skills and attention to detail
* Ability to multitask and manage competing priorities
* Reliable high-speed internet connection and a quiet home office setup
Preferred Qualifications
* Knowledge of U.S. insurance terminology, eligibility verification, and mental health billing
* Experience with insurance prior authorizations, billing, and CAQH
* Previous work in psychiatry, behavioral health, or outpatient medical practices

* Proactive and self-motivated with strong follow-through
* Ability to follow standardized procedures and maintain high accuracy
* Patient, professional demeanor when interacting with patients and insurance representatives
* Tech-savvy and comfortable using cloud-based software, online forms, and EHR platforms
What We Offer
* Fully remote work environment
* Flexible scheduling. May be between 1-10 hours per week starting out just depending on patient load.

* You will schedule patients for the 10 minute intro call on your own time, as long as it is within 10 days of the patient contacting the practice. Will have you set up your own Calendly for the practice so you can schedule on your own time.
