About Primacy Building Services
Primacy is a London based relatively new and small M&E firm specialising in premium residential properties in Knightsbridge, Mayfair, Chelsea, and other super prime areas. We deliver high end plumbing, electrical, HVAC, and maintenance services with engineering led precision and exceptional client communication.
We are having a large increase of works and clientele as a result expanding our operations team and seeking a full time Philippine based Virtual Admin with proven experience in facilities management, property maintenance coordination, construction administration, or technical service operations.
If you only have general VA experience, this role is not suitable.
Role Overview
You will act as the remote operations backbone of Primacy — managing Joblogic tasks, coordinating engineers, handling client communication drafts, and ensuring our documentation is polished and organised.
To succeed, you must have hands on experience supporting technical teams (M&E, HVAC, plumbing, electrical, facilities, construction, or property maintenance).
This role requires excellent English, strong organisation, and ideally the ability to work UK hours (PH afternoon/evening).
Key Responsibilities
• Joblogic admin — create jobs, update statuses, upload photos, attach reports
• Engineer scheduling — plan daily routes, manage changes, coordinate emergencies
• Inbox triage — organise
• Client communication support — prepare updates, confirmations, follow ups, phone calls
• Subcontractor coordination — request quotes, chase suppliers, track progress
• Document control — organise certificates, reports, RAMS, compliance files
• Compliance support — assist with service records, maintenance logs, asset data
• Reporting — weekly summaries, job reports, KPI updates
• General admin — data entry, CRM updates, file organisation
Required Skills & Experience
• Excellent written and spoken English
• Strong organisational skills and attention to detail
• Experience with CRMs or job management systems
• Confident communicator
• Ability to work (ideally) UK hours (4 PM–12 AM PH time)
• Stable internet connection (25 Mbps+) and quiet workspace
Mandatory Technical Background (must have at least one):
You must have experience in at least one of the following:
• Facilities management administration
• Property maintenance coordination
• Construction or engineering admin
• M&E / HVAC / plumbing / electrical service operations support
• Technical dispatching or scheduling
• Handling work orders, service calls, permits, or compliance documentation

Preferred Experience
• Admin experience in engineering, construction, facilities, or service industries
• Remote admin for UK/US/AUS companies
• Scheduling or dispatching background
Working Hours
Full time — ideally PH afternoon/evening shift (UK business hours), Monday to Friday.
Salary Range
