We are currently on the lookout for a VA to take over the day-to-day operations of our online e-Commerce Shopify store based in New Zealand. The candidate will be required to work 8am-5pm New Zealand time (NZ is 4hrs ahead of the Philippines).
Important: Your two most important skills will be good working knowledge of Shopify (strong demonstrated user) and your English speaking ability (comfortable with taking customer phone calls).
We are looking for someone who is happy to work on an hourly rate - payments can be made weekly / monthly.
The VA will need to handle customer service (process orders in Shopify, take phone calls, e-mails and Live chat), upload new products to our website, with a little bit of social media management as well.
Our products are construction products like reinforcing steel, temporary fencing, plasterboard, etc. Soon we will also be branching into garden sheds, greenhouses, pergolas and other home / backyard products.
We have lots of draft e-mails saved that the VA will be able to use to respond to customer enquiries.
Here is an outline of the typical daily activities and the skills we are looking for:
- High level of written and spoken English. One of the first steps of the recruitment process will be recording a 1-2min voice message.
- Experience with using Shopify online e-Commerce platform (please do not apply if you don't have WORKING Shopify experience).
- Receive customer enquiries via phone calls, e-mail and online chat - ability to respond professionally and politely to customer enquiries.
- Get delivery quotes from our suppliers for these customer enquiries.
- Send quotes via e-mail to customers for pick-up and delivery orders.
- Coordinate with our suppliers to ensure products are delivered on time (if the order has a deadline), otherwise within 2-3 working days.
- Two weekly posts to our social media pages to advertise one of our products or share a customer review.
- Candidates who are familiar with Shopify e-Commerce platform will be highly preferred - daily tasks inside Shopify will include the following:
* Orders which are placed online and paid via credit card need to be processed (get quote from Supplier and pay supplier).
* For enquiries which are received via e-mail or the store's "Get a Quote" form - draft orders need to be generated manually inside Shopify.
* Send draft invoices to customers for these manual orders so they can make payment via internet banking (we have an app that generates the invoices).
* Upload new products to the store (including product descriptions and images - can be done via AI - training will be provided - it's pretty easy).
- Other tasks inside the business might include collecting customer reviews, maintaining a clean e-mail inbox (moving older e-mails inside folders), SEO, link-building, accounting/bookkeeping (training can be provided for the correct candidate).
- Working hours will be 8am to 5pm New Zealand time, Monday to Friday.
