Remote Executive Assistant
Reports To: CEO
Employment Type: Part-Time (10–20 hours/week to start)

We’re seeking an organized, proactive, and tech-savvy Remote Executive Assistant to keep our CEO laser-focused on high-impact work (Sales & Marketing). Your mission is to remove distractions, organize priorities, and anticipate needs before they’re spoken — ensuring every day runs smoothly and productively.

Key Responsibilities
You will own these areas and deliver results — not just complete tasks:
1. Inbox Triage & Communication
• Manage, prioritize, and respond to CEO’s email — surface only what needs attention.
• Draft and send emails in the CEO’s voice.
2. Calendar Command
• Schedule and protect CEO focus blocks.
• Book and confir ---------- etings with clear agendas and prep materials.
3. Content & Marketing Logistics
• Draft and schedule LinkedIn posts, newsletters, and blogs using CEO’s tone.
• Manage the content bank and coordinate with creative partners.
4. CRM & Sales Support
• Maintain HubSpot accuracy.
• Prep warm prospect lists, schedule follow-ups, and re-engage lapsed accounts.
• Send case studies and client stories to prospects.
5. Project & EOS Support
• Track to-dos fro ---------- etings (Level 10, Same Page, etc.) and follow up until completed.
• Help keep Rocks on track and Scorecard metrics updated.
6. Research & Outreach
• Research potential clients, events, and marketing opportunities.
• Conduct outreach for lead generation as needed.

Qualifications
• 3+ years as an Executive Assistant or similar role.
• Exceptional organizational and communication skills.
• Proficiency with Microsoft Office, Outlook, Excel, and CRM platforms (HubSpot preferred).
• Comfortable with AI tools and modern tech platforms.
• Excellent writing skills for email and marketing content.
• Marketing experience or work with creative teams is a plus.
• Ability to work independently, anticipate needs, and solve problems proactively.
• Availability during U.S. business hours preferred.
• Warm, positive, and approachable personality.

• Background in printing or marketing.
• Basic graphic design (Canva) or video editing skills.
• Familiarity with project management tools (ClickUp, Notion, Asana).

Compensation
• $8–$12 per hour, depending on experience, skills, and location.
