The Publicity Coordinator plays a critical support role across active campaigns, ensuring that outreach, tracking, and reporting are executed accurately and on time. This position sits at the operational core of the PR team and directly supports senior leadership on day-to-day campaign management.
This is a fast-moving environment. Campaigns often shift quickly based on media availability, talent schedules, or client needs. The ideal candidate is highly organized, calm under pressure, and able to pivot without losing attention to detail.
You will be responsible for maintaining campaign infrastructure: media trackers, calendars, coverage reports, outreach logs, and documentation. You will also support drafting press blasts, organizing press materials, monitoring media breaks, and coordinating scheduling logistics.
Strong communication is essential. You must be comfortable asking clarifying questions, confirming next steps, and flagging potential issues early. We work with clients who operate on strict deadlines, so speed and urgency matter. At the same time, accuracy and professionalism are non-negotiable.
This role requires availability during U.S. business hours. Our team operates across both Pacific Time (PT) and Eastern Time (ET), so the ability to overlap with U.S. working hours is essential.

Key Responsibilities
Campaign Tracking & Organization
• Maintain and update media lists
• Track pitch outreach and follow-ups
• Monitor media placements and compile coverage reports
• Track breaks across digital, print, broadcast, and social
• Maintain campaign trackers and reporting dashboards
• Organize shared folders and assets
Calendar & Scheduling Management
• Maintain campaign calendars and internal timelines
• Track embargoes and release dates
• Coordinate interview schedules and press windows
• Send reminders and manage deadline follow-ups
Press & Outreach Support
• Draft first-pass press blasts and media alerts for review
• Format and distribute approved press materials
• Support journalist and outlet research
• Assist with junket, screening, and event coordination
Social Media & Digital Monitoring
• Track client and influencer social media posts
• Monitor online mentions and coverage
• Compile engagement and amplification reports
• Assist with influencer list building and tracking
Administrative & Operational Support
• Maintain clean and accurate spreadsheets
• Manage guest lists and RSVP tracking
• Support recap decks and post-campaign reporting
• Assist with documentation and internal organization
Ideal Candidate
• 1–3 years experience in publicity, PR, marketing, or agency support
• Strong written English and professional communication skills
• Extremely detail-oriented and organized
• Fast learner who can adapt quickly to new systems
• Comfortable working in Google Docs, Sheets, Airtable, and calendar tools
• Able to manage multiple deadlines without constant supervision
• Comfortable working partial U.S. business hour overlap
Strong interest in entertainment, film, television, or media is preferred. Familiarity with how publicity campaigns operate is a major plus.
