Part-Time Maintenance & Work Order Coordinator
Job Type: Part-Time (20 hours per week)
Work Hours: Monday to Friday, 9:00 AM to 1:00 PM Pacific Time
Salary: $500 per month
Job Overview:
We are seeking a highly organized and proactive Maintenance and Work Order Coordinator to support our property management team by overseeing the maintenance workflow across residential communities. In this role, you will coordinate maintenance requests from initial submission through completion, communicate with residents, schedule maintenance technicians and vendors, and ensure repairs are completed efficiently and to a high standard. The ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced environment while managing multiple priorities. Success in this role requires strong organizational skills, excellent communication, and the ability to collaborate effectively with residents, vendors, and internal teams to deliver a positive maintenance experience.
Key Responsibilities:
Work Order Management
Receive, review, prioritize, and assign maintenance work orders.
Ensure emergency maintenance requests are dispatched immediately.
Monitor work order progress from creation through completion.
Verify work orders are completed accurately with detailed notes and photographs when required.
Close work orders only after confirming repairs have been completed satisfactorily.
Maintain accurate maintenance records within the property management software.
Resident Communication
Respond promptly to resident maintenance requests.
Schedule appointments with residents and maintenance personnel.
Keep residents informed regarding repair status and expected completion times.
Follow up with residents after repairs to ensure satisfaction.
Coordinate entry notices when maintenance requires access to occupied units.
Maintenance Coordination
Schedule daily work assignments for maintenance technicians.
Coordinate preventive maintenance programs.
Assist in planning unit turns between residents.
Track recurring maintenance issues and recommend long-term solutions.
Ensure maintenance priorities align with occupancy and resident needs.
Vendor Coordination
Schedule outside contractors and service providers.
Obtain estimates and coordinate approvals when required.
Verify contractor insurance and licenses are current.
Monitor vendor performance, quality of work, and completion timelines.
Process vendor invoices and confirm completed work before payment. Maintain vendor contact lists and service contracts.
Qualifications:
Experience with multifamily apartment communities is preferred.
Knowledge of residential maintenance systems including plumbing, electrical, HVAC,
appliances, roofing, and general building maintenance.
Experience using property management software (Yardi).
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Ability to prioritize multiple projects in a fast-paced environment.
