About the Role
We are hiring a Part-Time Contractor Coordinator to contact, qualify, schedule, and follow up with contractors on behalf of our company.

This is a contractor-facing operations role. You will communicate with contractors by phone, email, and text. You will not communicate with our clients or patients.

We will give you the information needed for each request. Your job is to communicate accurately, gather the required information, keep the tracker current, and move the request to its next step. You must never guess at or independently answer a technical question. Any technical question must be recorded and escalated to the team.

Schedule
This role provides three paid working hours per day, Monday through Friday, for a total of 15 paid hours per week.

The specific three hours may be different on different days. Each day's three-hour block must fall entirely between 9:00 a.m. and 2:00 p.m. Pacific Time. This is not a fixed daily shift, but reliable weekday coverage within that window is required.

Responsibilities
- Contact contractors by phone, email, and text.
- Introduce the company and explain the reason for contact using the project information provided by the team.
- Confirm whether the contractor serves the relevant location.
- Confirm whether the contractor has experience relevant to the approved scope.
- Ask about availability, lead time, and the contractor's quote or estimate process.
- Request relevant qualifications, licensing, and insurance information where applicable.
- Arrange appointments using the scheduling information provided by the company.
- Follow up professionally when a contractor has not responded, when information is missing, or when a promised quote has not arrived.
- Maintain an accurate contractor tracker with contact details, outreach attempts, responses, qualifications, availability, quote status, and appointment status.
- Record a clear next action after every interaction.
- Escalate technical questions, unclear scope items, and decisions requiring the company's input.
- Find and contact an alternative contractor when directed or when the agreed follow-up process calls for one.
- Protect private information and share only the minimum information a contractor needs for the approved request.

Important Role Boundaries
- You communicate with contractors only. You do not communicate with clients or patients.
- You never provide technical advice or independently answer a contractor's technical question.
- If you are unsure, record the question and escalate it to the team instead of guessing.

Requirements
- Clear spoken and written English.
- Experience making outbound and follow-up calls in a professional role.
- Professional, polite persistence across phone, email, and text follow-up.
- Very organized, with the ability to manage multiple contractor follow-ups without losing track of details.
- Accurate recordkeeping and confidence maintaining a contractor tracker.
- Experience using Notion.
- Able to record a specific next action after every interaction.
- Able to communicate project information accurately without adding unsupported details.
- Good judgment about when to follow up, when to escalate, and when an alternative contractor may be needed.
- Available for three paid hours each Monday through Friday, with each day's hours falling entirely between 9:00 a.m. and 2:00 p.m. Pacific Time.
