About the Role
Pink's Windows is looking for a sharp, dependable Office Manager to serve as a key part of our daily operations. This is a broad, high-trust role for someone who can answer phones with a professional and friendly tone, keep our schedule running efficiently, support back-office functions like payroll and commissions, and generally think a step ahead of what the business needs. We're looking for someone who can operate independently, take ownership of tasks, and bring good judgment to ambiguous situations — not just execute a checklist.
What You'll Do
Customer & Phone Support
Answer inbound calls during business hours in a warm, professional manner
Field customer questions and route calls/messages appropriately
Prepare and send customer quotes as needed
Scheduling & Dispatch
Manage and optimize the daily/weekly schedule using Jobber
Identify scheduling inefficiencies and proactively suggest improvements to routing and job sequencing
Coordinate with field teams to keep the schedule accurate and up to date
HR & Onboarding Support
Prepare documents and paperwork for onboarding new employees
Maintain organized, accurate employee records
Back-Office & Financial Support
Run payroll on a recurring basis via our ADP platform
Calculate commissions accurately and on schedule
Support other back-office and administrative functions as needed
Manage Social Media
Edit and post photos and videos supplied by the team on site on an as needed basis to our social media platforms, primarily
Respond as needed to customer comments and interactions.
What We're Looking For
Excellent written and spoken English — clear, professional, and error-free communication is non-negotiable, especially for customer-facing calls and correspondence
Strong computer skills, with particular proficiency in Excel (formulas, organizing data, basic calculations)
Experience with Jobber or similar field-service/scheduling software strongly preferred
Independent, strategic thinker — comfortable making decisions, solving problems, and identifying better ways of doing things without needing constant direction
Prior experience in a virtual assistant, administrative, dispatch, or back-office role
High attention to detail, especially with payroll and commission calculations where accuracy matters
Trustworthy and discreet with sensitive employee and financial information
Reliable availability during Eastern business hours
Nice to Have
Experience supporting a home services, franchise, or field-service business
Familiarity with payroll platforms and basic HR document processes
A track record of taking on responsibility beyond the original job description
