About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant/Sales Support Coordinator to work directly with the owner of a growing industrial services company. This role combines executive support, customer communication, sales coordination, and project administration.
The ideal candidate is dependable, tech-savvy, professional in communication, and capable of helping keep priorities organized across a fast-moving business environment. You will play a critical role in helping the owner maximize time in sales, leadership, and strategic growth activities.
This is a full-time remote position with required overlap of at least 6 hours per day during U.S. Central Standard Time business hours (8:00 AM – 5:00 PM CST).
Primary Responsibilities
Executive & Administrative Support
Manage and maintain the owner’s calendar and scheduling
Coordinate meetings, appointments, and follow-ups
Organize inbox communications and prioritize important items
Assist with travel planning and logistics when needed
Maintain organized digital records, notes, and documentation
Help track action items and ensure deadlines are met
Client Communication & Sales Support
Communicate professionally with customers, vendors, and internal tea
Schedule sales meetings and service-related appointments
Follow up with leads, customers, and prospects via phone and
Assist with CRM updates and pipeline tracking
Prepare basic proposals, presentations, and customer-facing documents
Help coordinate sales activities and customer follow-up processes
Project & Software Coordination
Assist with the implementation and maintenance of software systems and workflows
Support administrative and operational improvement projects
Help document SOPs, workflows, and internal processes
Coordinate tasks across tea
Assist with reporting, data entry, and dashboard management
Qualifications
Required
Excellent written and verbal English communication skills
Strong organizational and time management abilities
High attention to detail and follow-through
Comfortable working independently in a fast-paced environment
Professional and friendly communication style
Strong computer and internet skills
Experience with Microsoft Outlook, Google Workspace, spreadsheets, and CRM systems
Reliable internet connection and quiet work environment
Preferred
Executive assistant or operations support experience
Sales support or appointment-setting experience
Experience using CRM systems
Familiarity with project management software
Experience supporting U.S.-based businesses
Experience with AI tools such as ChatGPT or workflow automation software
Schedule & Compensation
Full-time remote position
Must provide at least 6 hours/day overlap with CST business hours (8 AM – 5 PM CST)
