About the Role
We are seeking a highly organized, proactive Executive Assistant / Operations Manager to support multiple businesses, creative projects, and community initiatives. This person will serve as the primary administrative support for the owner and help manage daily operations across business, media, publishing, and coaching ventures.
This is not a task-taker position. We are looking for someone who can take ownership of projects, solve problems independently, and keep everything moving without constant supervision.
Key Responsibilities
Administrative Support
• Manage
• Maintain calendars and appointments
• Coordinate meetings and events
• Organize documents and digital files
• Create and maintain SOPs
• Track deadlines and project timelines
Business Operations
• Assist with vendor communication
• Coordinate partnerships and collaborations
• Manage follow-up tasks
• Track ongoing business projects
• Assist with customer service escalation
Podcast & Media Support
• Schedule podcast guests
• Coordinate recording sessions
• Manage guest communication
• Track content production timelines
Publishing & Product Support
• Organize book manuscripts and content
• Coordinate with editors and contractors
• Track publishing timelines
• Assist with digital product launches
Qualifications
• Strong organizational skills
• Excellent written communication
• Experience with Google Workspace
• Experience with Trello, Asana, ClickUp, or similar systems
• Ability to work independently
• Strong problem-solving abilities
• High level of professionalism and confidentiality
