JOB OVERVIEW

We are a fast-growing US-based digital marketing agency that works primarily with law firms, helping them generate more clients through paid ads, funnels, and marketing automation. We are looking for a detail-oriented and reliable specialist in the Philippines to join our remote team long-term.

You will handle day-to-day customer support, billing, basic payroll-related tasks, and client coordination. You will communicate with clients via email/chat, manage invoices and payments, schedule and coordinate onboarding calls for new clients, and help keep our billing and payroll records accurate and up to date. Experience with Zoho (Zoho Books, Zoho Invoice, Zoho Payroll, Zoho CRM, or Zoho Creator) is a strong plus. Since you will be communicating with clients, english fluency MUST be excellent.

Key Responsibilities:
-Respond to client inquiries via email, chat, and occasional calls regarding billing, subscriptions, onboarding, and account questions
-Act as a client coordinator for new clients: schedule onboarding calls, send calendar invites, share pre-onboarding forms, and ensure all required information is collected before the call
-Follow up with new clients to confirm schedules, reschedule as needed, and ensure a smooth handoff to the onboarding/implementation team
-Create, send, and follow up on invoices, credits, and payment reminders using our billing systems (Zoho and others)
-Monitor overdue accounts, send follow-ups, and coordinate with the team on failed or disputed payments
-Assist with subscription management (pauses, cancellations, upgrades/downgrades)
-Record payments and reconcile transactions against reports from our payment processors
-Help prepare payroll-related data (hours, commissions, bonuses) and coordinate with our payroll system for timely payouts
-Maintain accurate records of billing, refunds, discounts, and adjustments
-Document processes and keep SOPs up to date as systems or tools change
-Collaborate with operations and finance to catch errors early and improve billing, payroll, and onboarding workflows
