We are seeking an experienced and detail-oriented and reliable Bookkeeper to manage the day-to-day financial operations of our business. This role is critical in ensuring accurate financial records, smooth cash flow management, and effective coordination between internal teams and external advisors.
The successful candidate will have experience working with Xero, practice management systems such as Splose, and bank integrations, with strong reconciliation and organisational skills.
Key Responsibilities:
Accounts & Bookkeeping:
1. Maintain accurate and up-to-date financial records in Xero
2. Process accounts payable and receivable - this is currently undertaken by our administrative team, the bookkeeper would assist in the reconciliation process as the invoices are issued automatically from Splose once the therapy session is completed.
3. Prepare and issue invoices, and follow up on outstanding payments - as noted above
4. Manage payroll processing (This is currently done internally by our Operations manager and an external payroll provider, you will be required to assist and eventually take over the operations manager input into the payroll)
5. Assist with BAS preparation and compliance (in conjunction with the external accountant)
6. EOFY preparation and assisting the external accountant with all requirements
7. Keeping track of all ATO and state revenue payment plans and commitments
8. Financial and business forecasting of income vs expenditure
9. Creating and maintaining yearly financial forecast vs actuals of budgets, forecasts vs actuals, tracked daily, reported monthly and revised yearly.
Banking & Reconciliation:
1. Manage and monitor Commonwealth Bank integrations with Xero
2. Perform daily and monthly bank reconciliations
3. Reconcile credit cards and other financial accounts
4. Investigate and resolve discrepancies in a timely manner
5. Keeping a real-time record of funds coming in vs going out of the business
6. Maintaining cash flows
7. Keeping the directors advised on the financial position of the business at any given time.
Systems & Software:
1. Work across Xero and Splose (practice management software) to ensure accurate syncing of financial data
2. Ensure the correct allocation of payments, invoices, and client records between systems
3. Identify and resolve integration or data inconsistencies between platforms
4. Microsoft Office systems – Excel, Word, etc
Reporting & Compliance:
1. Prepare regular financial reports (P&L, cash flow, balance sheet) for management
2. Assist in budgeting and financial forecasting
3. EOFY reporting and assistance to the external accountant
4. Ensure compliance with financial policies and procedures
5. Maintain organised and audit-ready financial records in the company one drive and Xero (invoices storage)
Stakeholder Liaison:
1. Liaise with internal admin and operations staff to ensure accurate billing and data entry for all payment methods, NDIS, Eftpos, Stripe, plan managers, and Cash
2. Work closely with the external accountant to support tax compliance, reporting, and year-end processes
3. Provide financial insights and support to management as required
4. Qualifications & Requirements
Skills & Experience:
1. Proven experience in a bookkeeping or similar role
2. Strong working knowledge of Xero (essential)
3. Experience with Splose or similar practice management systems (highly regarded)
4. Experience with bank integrations, particularly Commonwealth Bank
5. High level of accuracy and attention to detail
6. Strong organisational and time management skills
7. Excellent English communication and interpersonal skills
8. Strong Microsoft Office systems experience
9. Strong experience in using drop box, One Drive,
10. Strong forecasting and budgeting skills

Desirable:
1. Certificate IV in Bookkeeping or Accounting (or equivalent)
2. Experience in healthcare or allied health industry (preferred but not essential)
3. Minimum of 5 years’ experience
