JOB OVERVIEW

Role Overview
We are a growing real estate team looking for a detail-oriented, proactive Administrative Assistant to support daily operations, leadership scheduling, agent onboarding, data management, and team systems.
This role is ideal for someone who is highly organized, tech-savvy, responsive, and comfortable working in a fast-paced remote environment. You will help keep the business running smoothly by managing administrative details, updating important records, supporting leadership, and making sure nothing falls through the cracks.
Non-Negotiable Requirements
Stable, reliable internet connection at all times during working hours.
Consistent access to power. If you cannot work due to loss of power or a natural disaster, you will not be compensated for that day.
All working hours are monitored via screenshot monitoring software.
Daily Stand-up must be completed every Monday through Friday for the first 90 days.
FUB tasks must be checked and worked a minimum three times per day.
All Slack messages from leadership and agents must be acknowledged and responded to within 15-20 minutes.
Slack notifications must be on at all times during working hours.
All projects, scheduled, and ad hoc tasks must be completed by completion date.
Open-line of communication with leadership with any struggles, delays, and/or changes in projects/tasks.
Responsibilities include:
Manage calendars, appointments, meetings, and team events
Schedule calls, trainings, leadership meetings, and partner appointments
Maintain accurate data in Google Sheets, CRM systems, transaction logs, and team trackers
Support agent onboarding, including account setup, system access, documents, and calendar invites
Help manage real estate transaction updates, deal logs, and required documentation
Communicate with agents, leadership, vendors, and outside partners
Manage team rosters, vendor updates, sign orders, and recurring administrative tasks
Prepare weekly reports and spreadsheets for leadership meetings
Assist with travel booking, meeting preparation, file organization, and special projects
Keep passwords, systems, SOPs, and internal records organized and up to date
Complete daily check-ins and communicate clearly on project status, delays, or issues
Required skills and experience:
Strong Google Workspace skills, especially Google Sheets
Excellent written communication
High attention to detail
Ability to follow systems and step-by-step instructions
Strong time management and task ownership
Comfortable using Slack, CRM platforms, Google Meet, and project/task systems
Ability to work independently in a remote environment
Real estate administrative experience is a plus
