Virtual Assistant – Volleyball Club Operations & Community Support

• Part-time (10–20 hours/week to start)

Overview
We are a growing recreational volleyball community looking for a reliable, organized, and proactive Virtual Assistant to help manage daily operations, player communication, and social media presence. This role is essential to keeping our games organized, our players informed, and our community engaged.
You’ll be working closely with the club admins to handle sign-ups, payments, data tracking, and content creation.

Core Responsibilities
Daily Operations & Player Management
• Release daily/weekly player sign-up lists for pickup volleyball games
• Track sign-ups and confirm player availability
• Confirm payments and update daily player lists accordingly
• Maintain and update backup / waitlists
• Communicate last-minute changes (court availability, cancellations, player spots)
Player Communication & Support
• Answer frequently asked questions (pricing, schedule, skill level, rules, locations)
• Respond to messages in WhatsApp / Instagram /
• Send signup forms to new players
• Confirm form submissions and send onboarding instructions
• Share rules, arrival time expectations, and payment instructions
• Escalate special cases or conflicts to admins when needed
Data Tracking & Excel Management
• Perform Excel / Google Sheets data entry, including:
• Number of games played per player
• Wins / losses (when applicable)
• Attendance tracking
• Player status (active, new, warned, suspended, etc.)
• Keep data organized, accurate, and up to date
• Help generate simple reports when requested
Social Media & Content
• Manage Instagram account (posting and basic engagement)
• Create posts for:
• Game reminders
• Weekly schedules
• Announcements
• Events, raffles, birthdays, highlights
• Perform light video editing (Reels / Stories):
• Trim clips
• Add music, captions, emojis, simple text overlays
• Maintain a consistent brand tone and visual style (guidelines provided)

Additional Tasks (As Needed)
• Schedule posts using Meta tools or similar platforms
• Help organize digital files (forms, templates, spreadsheets)
• Assist with event coordination (tournaments, special games, giveaways)
• Help track volunteer/admin participation
• Flag recurring issues or patterns (no-shows, late payments, FAQs)
• Suggest small process improvements to make operations smoother

Skills & Qualifications
• Strong written communication in English (Spanish or Portuguese is a plus)
• Highly organized and detail-oriented
• Comfortable with:
• WhatsApp
• Google Forms
• Google Sheets / Excel
• Instagram
• Basic knowledge of:
• Social media posting
• Simple video editing apps (CapCut, InShot, Canva, etc.)
• Ability to follow processes and adapt when things change quickly
• Reliable, responsive, and respectful when dealing with players

• Experience managing online communities or sports groups
• Familiarity with volleyball or sports leagues
• Experience working with memberships, sign-ups, or event coordination
