About Newport Knits
Newport Knits is a premium custom knitwear brand specializing in licensed collegiate apparel for over 65 universities and colleges across the United States. We manufacture high-quality fan gear and sell through both direct-to-consumer (Shopify) and wholesale channels.

Our products are worn by fans across the country, and our licensing relationships with schools through organizations like CLC and Fanatics require precise, timely reporting and professional communication. We’re a small, focused team that values accuracy, ownership, and reliability above all else.

This role is a critical part of our operations. You won’t just be doing data entry — you’ll be the person we trust to manage royalty reporting for 30+ schools, keep our customer inbox running smoothly, and help us build better systems over time.



About the Role
We’re looking for a detail-oriented, self-directed Virtual Assistant to own royalty reporting, customer communication, and operational organization. This role is ideal for someone who:

Is highly accurate with data and spreadsheets
Communicates clearly and professionally in English
Takes ownership of their work and follows through without hand-holding



Key Responsibilities
Royalty Reporting
Prepare and submit monthly royalty reports to CLC for approximately 30 schools
Prepare quarterly royalty reports for Fanatics
Download Shopify analytics and complete required Excel royalty templates
Track wholesale orders and identify store-level sales for reporting
Ensure accuracy and timely submission of royalty payments

Customer Service & Inbox Management
Respond to daily customer inquiries (returns, sizing, product questions)
Manage custom order communications and document all required details (logos, designs, specifications)
Organize and triage inbox to prevent missed tasks or delays

Operations & Administrative Support
Maintain organized spreadsheets and reporting systems
Monitor inventory notifications and assist with order tracking
Support supplier coordination and fulfillment communication
Assist in documenting and improving internal processes

Excel (royalty reporting templates)
Gmail
Brand Manager portals (CLC and similar)
Fanatics reporting tools
Canva (preferred but not required)



Onboarding & Training
We know that getting up to speed on royalty reporting and our systems takes time, and we’re committed to setting you up for success. Here’s what your first 90 days will look like:

Week 1–2: Introduction to our systems, tools, and workflows. Shadowing and guided walkthroughs of royalty reporting templates.
Week 3–4: Begin managing a subset of royalty reports with close review and feedback.
Month 2–3: Transition to full ownership of monthly reporting with regular check-ins. Take over primary customer inbox management.
End of Month 3: Performance review and compensation increase discussion.

We’re a small team, so your questions and input matter. You’ll have direct access to the Founder throughout onboarding.



Compensation & Benefits
Starting Rate
$5.00 USD/hour during your first 90 days
Performance review at the end of Month 3 with an expected increase of $0.50–$1.00/hour based on accuracy, reliability, and communication

Health & Social Security Reimbursement
We reimburse $30 USD/month toward your PhilHealth and SSS (Social Security System) payments

Paid U.S. Holidays
You will receive holiday pay equal to your standard daily hours on the following days:
Memorial Day (last Monday of May)
Independence Day (July 4)
Labor Day (first Monday of September)
Thanksgiving (fourth Thursday of November)
Black Friday (day after Thanksgiving)
Christmas Eve (December 24)
Christmas Day (December 25)
New Year’s Day (January 1)

Long-Term Growth Potential
We are a growing brand with expanding licensing relationships and wholesale channels. For the right person, this role has real room to grow. Here’s what that can look like:

Year 1: Master royalty reporting and operations. Potential compensation of $5.50–$6.00/hour by the end of your first year.
Year 2+: Take on expanded responsibilities such as inventory management, wholesale coordination, or team support. Compensation increases tied to scope and performance.
Long-term: As we grow our school partnerships and product line, we anticipate adding tea ---------- mbers — giving a high performer the opportunity to step into a lead or supervisory role.



What We’re Looking For
Strong written English — you’ll be representing Newport Knits in customer and partner communications
High proficiency in Excel and Google Sheets
Shopify experience a strong plus
Comfortable working with repetitive data tasks while maintaining high accuracy
Proactive communicator — you flag issues before they become problems
Reliable internet connection and a quiet, professional workspace
