Position Overview
This is not a traditional virtual assistant role.
We are looking for a Virtual Operations Manager who can help run the day-to-day operations of our business, improve systems, document processes, communicate with our team, and proactively solve problems.
The ideal candidate takes ownership, thinks ahead, and enjoys creating structure and efficiency.
The long-term goal is for this person to oversee most daily operational activities so the owner can focus on growth, sales, client relationships, and strategic planning. Responsibilities
Operations
* Review and manage weekly cleaning schedules
* Coordinate with cleaners and supervisors
* Assist with staffing and substitute coverage
* Coordinate supply ordering and deliveries
* Coordinate key pickups, drop-offs, and account setup logistics
* Monitor operational issues and assist in resolving them
* Communicate daily with field staff
Administrative
* Create proposals using walkthrough information provided by the owner
* Send consumable invoices to clients
* Follow up on unpaid invoices
* Prepare payroll information for approval
* Maintain company records and documentation
* Manage
Sales Support
* Answer incoming calls
* Qualify prospects
* Schedule walkthrough appointments
* Maintain CRM records
* Assist with proposal follow-up
* Support client onboarding
Human Resources
* Assist with recruiting and interviewing
* Coordinate employee onboarding
* Maintain employee records
* Assist with scheduling and workforce planning
* Help improve hiring and training systems
Systems & Process Documentation
* Document recurring business processes and workflows
* Create and maintain Standard Operating Procedures (SOPs)
* Use tools such as Scribe to quickly capture and document processes
* Build training materials and internal knowledge resources
* Identify opportunities to improve efficiency and standardize operations

Requirements

Highly Preferred
* Commercial cleaning industry experience
* Janitorial company experience
* Residential cleaning company experience

* Other service-business operations experience

* Experience with CRM systems
* Experience with QuickBooks Online

* Helping the owner focus primarily on growth and sales
