We are a well-established painting company celebrating 20 years in the industry, dedicated to providing top-notch service and exceptional quality to our clients. As we continue to grow, we are looking for an organized and detail-oriented Virtual Office Manager to join our team and help streamline our remote operations.

Job Description:
We are seeking a highly motivated and experienced Virtual Office Manager to oversee daily administrative tasks and ensure the smooth operation of our virtual office. The ideal candidate will have hands-on experience with HubSpot and QuickBooks, strong sales and customer service skills, and excellent organizational and communication abilities.

Key Responsibilities:
Manage day-to-day virtual office operations, including scheduling, correspondence, and administrative support.
Oversee customer relationship management using HubSpot, ensuring all client interactions are tracked and followed up on.
Handle financial transactions and reporting in QuickBooks, including invoicing, expense tracking, and payroll support.
Conduct inbound and outbound sales calls, following up on leads, nurturing relationships, and assisting in closing deals.
Coordinate with the sales team and other departments to ensure smooth workflow and communication across remote teams.
Maintain digital records and ensure all documentation is organized and accessible.
Qualifications:
Minimum 5 years of experience working with U.S. companies in a similar role.
Proven experience as a Virtual Office Manager or in a remote administrative/sales role.
Proficiency in HubSpot and QuickBooks is required.
Strong inbound and outbound sales skills with a focus on customer engagement and lead conversion.
Excellent verbal and written communication abilities.
Ability to work independently and take initiative in a virtual environment.
High attention to detail and problem-solving skills.
Familiarity with virtual communication tools such as Zoom, Slack, and Microsoft Teams.
