Position Overview:

We are seeking a highly organized and detail-oriented Virtual Administrative Assistant with experience in behavioral health, specifically in alcohol and drug addiction/substance use disorder. The ideal candidate should have prior experience working in an outpatient treatment center (OTC) and be familiar with medical billing, claims, insurance credentialing, and grant writing. This role requires proficiency in managing administrative tasks, coordinating patient care, handling billing processes, and overseeing digital and telehealth operations.

Key Responsibilities:

Administrative & Patient Coordination
Schedule and manage patient appointments, including sending reminders.
Maintain and update electronic health records (EHR) and patient files.
Handle patient inquiries and coordinate communications between healthcare professionals.
Assist with the intake process for substance use disorder (SUD) treatment programs.

Medical Billing & Insurance
Process behavioral health claims, conduct insurance verification, and handle pre-authorizations.
Ensure compliance with insurance credentialing requirements for providers.
Manage medical coding and billing specific to behavioral health and substance use treatment.
Assist in navigating insurance requirements for Medicaid, Medicare, and private payers.

Documentation & Research
Prepare clinical documentation, reports, presentations, and spreadsheets.
Conduct research on grant opportunities related to behavioral health and addiction recovery programs.
Assist in grant writing and submitting funding applications for SUD treatment.
Organize and maintain records related to compliance, licensing, and funding reports.

Telehealth & Digital Management
Manage telehealth scheduling and patient coordination.
Oversee social media accounts to promote behavioral health awareness and treatment programs.
Create and schedule content related to mental health and addiction recovery.
Monitor engagement and respond to inquiries across digital platforms.
Manage email and text communication, including prioritizing urgent patient or provider messages.
Send newsletters and updates regarding treatment programs, policies, and outreach efforts.

Basic Qualifications:
Proven experience in behavioral health administration, preferably in substance use disorder (SUD) treatment.
Experience working in an outpatient treatment center (OTC) or similar behavioral health setting.
Knowledge of insurance credentialing, pre-authorizations, and medical billing for behavioral health services.
Familiarity with CPT codes, ICD-10 codes, and insurance claim forms specific to behavioral health.
Grant writing experience related to mental health and substance use treatment funding.
Proficiency with electronic health records (EHR) and telehealth platforms.
Strong organizational and administrative skills, with attention to detail.
Excellent written and verbal communication skills.
Ability to manage social media accounts professionally, with experience in content creation.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suit.
Self-motivated and capable of handling multiple tasks efficiently while working remotely.

Basic Requirements:

Must be proficient in speaking and writing English very clearly.
Must have relevant work experience.
Be able to submit an NBI clearance or Local Police Clearance background check if requested.
Must be available for video meetings with your camera on.
Must have no other clients during required work hours.
