Position Overview

We are seeking a highly organized, proactive, and detail-oriented full-time Virtual Clinical Assistant to support our dermatology group. Peak Skin Center is a growing, physician-led comprehensive dermatology clinic rooted in team-first values and excellence in patient care. The Virtual Clinical Assistant will support our clinical and procedural teams by preparing charts, assisting with coordination of care, and handling clinically focused communication tasks. This is a remote position, and you will work closely with both the administrative team and the back clinical team to streamline operations and enhance patient care and satisfaction.

Key Responsibilities

Chart Preparation for Upcoming Visits:
Prepare charts or portions of the electronic medical record for upcoming patient visits, reviewing referrals and outside records, preparing documents and PDFs for surgical patients and ensuring relevant documents are attached to the chart.

Biopsy Result Calls & Procedure Scheduling:
Perform biopsy result calls to patients using approved scripts and documentation guidelines, and schedule patients for follow-up procedures or visits as recommended by the provider.

Referral & Procedure Summary Communication:
Send out referral and procedure summary faxes and letters to referring providers and appropriate external offices, ensuring accurate documentation and timely follow-up.

Assist with gathering, organizing, and uploading outside records (pathology reports, prior dermatology notes, imaging results) into the EMR in preparation for upcoming visits or procedures.

Support prior authorization workflows for medications, injectable biologics, and procedures by helping collect clinical information and documentation needed by the clinical and referral teams and make contact with insurance companies.

Review EMR tasks or clinical inbox messages (as assigned) and route or flag items for the appropriate provider or team (e.g., refill requests, clarification questions, post-biopsy concerns).

Draft patient communication using templates (e.g., pre-procedure instructions, post-procedure care reminders, or follow-up reminders) for provider or nurse review and sending through the patient portal or approved messaging platform.


Required Skills & Qualifications

Experience:
Previous experience as a Virtual Assistant, clinical assistant, or patient support role in a medical or healthcare setting is preferred (dermatology experience is a plus but not required).

Technical Proficiency:
Familiarity with electronic medical records (EMR) systems (such as Modernizing Medicine EMA), Adobe PDF manager, patient engagement platforms (such as Klara), Microsoft product suite (including Excel, Word, and PowerPoint), and project management tools (e.g., Asana). Training will be provided on dermatology workflows, EMR use, and clinic-specific processes.

Communication:
Excellent written and verbal English communication skills. Ability to communicate clearly, professionally, and empathetically with patients, providers, and teammates.

Detail-Oriented:
Strong attention to detail, especially when managing clinical information, biopsy results, referrals, and patient data.

Organization:
Ability to multitask and prioritize effectively in a fast-paced outpatient environment with multiple providers and support staff.

Problem-Solving:
Strong critical thinking and problem-solving skills to handle clinical coordination tasks, anticipate needs, and escalate concerns appropriately.

Availability:
Ability to work independently, reliably, and be available for video calls throughout the entire shift.
