We are a US-based small business looking for a reliable, detail-oriented virtual bookkeeper to manage both our accounts payable and accounts receivable functions in QuickBooks. You will work directly with the business owner and be trusted to keep our books accurate, our vendors paid on time, and our receivables properly recorded.
This is a long-term, ongoing position. You will be paid by the hour for actual time worked.
What you'll be doing
Accounts payable:
-Enter and manage vendor invoices in QuickBooks
-Process and schedule bill payments accurately and on time
-Maintain organized records of all A/P activity
Accounts receivable:
-Log and record all incoming payments and customer invoices in QuickBooks
-Ensure A/R entries are accurately categorized and posted in a timely manner
-Follow up on outstanding receivables as needed
General bookkeeping:
-Perform monthly account reconciliations
-Ensure all transactions are recorded in accordance with US GAAP
-Flag discrepancies or issues to the business owner promptly
-Communicate clearly and proactively about open items
What we're looking for:
-Solid understanding of accounting principles under US GAAP — this is required, not a bonus
-Proven experience handling both A/P and A/R for US-based companies
-Hands-on proficiency with QuickBooks (Online or Desktop — please specify)
-Strong attention to detail — accuracy in data entry and transaction coding is non-negotiable
-Highly organized with the ability to manage recurring deadlines independently
-Excellent written English communication skills
-Reliable internet connection and a quiet, professional work setup
-Available to overlap with US business hours (Pacific or Mountain time preferred)
Nice to have:
-Accounting degree or professional bookkeeping certification
-Experience with Google Workspace
-Familiarity with US tax forms (W-9, 1099 prep)
