## Position Overview

We are looking for a reliable, organized, and detail-oriented **Virtual Assistant / Marketing & Sales Support Specialist** to help keep our marketing, contact management, event coordination, scheduling, and sales follow-up organized.

This role will support email campaigns, contact list management, appointment setting, Lunch & Learn events, website updates, Google Business Profile updates, and basic sales support.

The main goal of this position is to help company leadership stay focused on sales, customer relationships, and business development while the assistant keeps the systems, communication, scheduling, and follow-up tasks running smoothly.

## Key Responsibilities

### Marketing & Email Support

* Prepare and send weekly email campaigns, newsletters, product updates, and event announcements.
* Help highlight D7 product lines, manufacturer partners, sales priorities, upcoming events, and customer education topics.
* Organize email lists by audience type, region, and relationship.
* Track basic campaign results including opens, clicks, replies, and unsubscribes.
* Provide short updates on campaign performance and potential follow-up opportunities.

### Contact Management & Sales Support

* Keep Google Contacts, Constant Contact, and other contact lists clean, organized, and up to date.
* Export, import, clean, and organize contact lists as needed.
* Segment contacts by audience type, including architects, consultants, contractors, general contractors, owners, distributors, and manufacturer partners.
* Help schedule sales calls, product presentations, Lunch & Learns, and follow-up meetings.
* Send calendar invites, confir ---------- eting details, and organize contact notes and follow-up items.

### Event & Lunch & Learn Coordination

* Set up event pages or registration forms in Constant Contact when needed.
* Manage registrations, reminder emails, confirmation emails, and attendee lists.
* Coordinate event details such as date, time, location, attendee count, topic, and presentation needs.
* Help prepare and organize Lunch & Learn attendee lists for continuing education credit submission.
* Send post-event thank-you emails and organize requested follow-up materials.

### Website & Google Visibility Support

* Help keep company information accurate on the website and Google Business Profile.
* Assist with updates to services, product lines, photos, events, and contact information.
* Identify basic opportunities to improve online visibility for D7’s products and service areas.
* Coordinate with company leadership or the website provider when updates need approval or technical support.

## Ideal Candidate

The ideal candidate is organized, dependable, detail-oriented, and comfortable working remotely. You should be able to manage recurring tasks, communicate clearly, follow instructions, and help create structure around marketing and sales support activities.

* Virtual Assistant
* Marketing Assistant
* Sales Support Coordinator
* Administrative Assistant
* Email Marketing Assistant
* CRM or Contact Management Assistant

## Required Skills

* Strong written English communication
* High attention to detail
* Experience with Google Workspace, including Gmail, Google Calendar, Google Drive, Google Docs, and Google Sheets, DocHub
* Ability to manage spreadsheets and contact lists
* Basic calendar scheduling and appointment coordination
* Ability to follow written processes and checklists
* Comfortable working independently and asking questions when needed
* Reliable internet connection and consistent availability

## Preferred Skills

Experience with any of the following is a plus:

* Constant Contact or similar email marketing platforms
* Google Contacts
* Google Business Profile
* Basic website updates
* Event registration platforms
* CRM systems or contact databases
* Canva or basic graphic design tools
* LinkedIn support or basic social media posting
* Construction, architecture, roofing, or building products industry experience

Industry experience is helpful but not required. The right person can learn the products and terminology over time.

## Success in This Role Looks Like

You will be successful in this role if:

* Contact lists are clean, organized, and properly segmented.
* Weekly email campaigns are prepared and sent on schedule.
* Appointments, Lunch & Learns, and follow-up meetings are coordinated smoothly.
* Event registrations, reminders, attendee lists, and post-event follow-up are handled professionally.
* Website and Google Business Profile information stays accurate and current.
* Company leadership receives clear updates on campaigns, meetings, events, and follow-up opportunities.
* Tasks are completed accurately, on time, and with minimal follow-up required.

## Level of Authority

The Virtual Assistant may organize and complete assigned marketing, scheduling, contact management, event, and administrative support tasks.

Major changes to branding, website content, sales messaging, email campaigns, or customer-facing materials must be reviewed and approved by company leadership before being published or sent.

## Work Schedule

This position can begin as part-time with the opportunity to grow into more hours as the role develops.

Preferred availability includes some overlap with U.S. Mountain Time for meetings, updates, and coordination.
