About the Role

We are seeking a highly skilled, detail-oriented, and proactive Virtual Assistant with advanced experience in the Zoho One ecosystem to become a key part of our growing team.

This is not an entry-level admin role.

We are looking for someone who can confidently build, customize, automate, organize, and optimize business operations using Zoho tools while also supporting monthly bookkeeping and payroll processes.

If you enjoy creating systems, automations, workflows, and helping businesses operate more efficiently — this could be an excellent long-term opportunity.

Primary Responsibilities

Zoho One Administration & Automation

You will serve as the primary support person for our Zoho environment, including setup, optimization, customization, and ongoing management.

Responsibilities include:

* Customizing and managing Zoho CRM
* Building forms and workflows within Zoho Forms
* Supporting onboarding and employee workflows in Zoho People and Zoho Recruit
* Creating automations, pipelines, workflows, tags, triggers, and reporting dashboards
* Setting up automated email campaigns, drip campaigns, notifications, and templates
* Integrating systems across the Zoho ecosystem
* Assisting with process improvement and operational efficiency
* Maintaining data accuracy and organization within CRM systems
* Creating SOPs and documentation for internal workflows

Administrative & Business Support Duties

Additional responsibilities include:

* Monthly bookkeeping support
* Payroll assistance and reporting
* Invoice and expense tracking
* Data entry and spreadsheet management
* Calendar and task management
* Email organization and follow-up
* General business administrative support
* Assisting leadership with operational projects

Qualifications

REQUIRED

* Advanced experience with Zoho One
* Strong understanding of:
* Zoho CRM
* Zoho Forms
* Zoho Recruit
* Zoho People
* Experience building automations and workflow rules
* Excellent English communication skills (written and verbal)
* Strong organizational and time-management abilities
* Ability to work independently and solve problems proactively
* High attention to detail
* Comfortable handling confidential business information
* Full-time availability during agreed working hours

PREFERRED

* Experience with bookkeeping or accounting support
* Payroll processing experience
* Experience supporting U.S.-based companies
* Familiarity with merchant services, finance, or sales organizations
* Experience with email marketing systems and automation tools
