JOB OVERVIEW

About the job:
Kasa Indian Eatery in San Francisco is looking for a detail-oriented, highly responsible virtual assistant to support our operations. You’ll handle important administrative responsibilities—such as running payroll bi-weekly, processing quarterly or annual administrative filings, handling customer inquiries and supporting catering operations.

This is a great opportunity for someone who enjoys wearing multiple hats: from helping our clients via email to place catering orders to running payroll to recruiting new hires.

Work Hours:
- Monday to Friday: 3pm to 10pm California time (6am to 1pm Manila time)
- Sunday: 2pm – 9pm California time (5am-12p Manila time)

Key Responsibilities:

1. Payroll, Admin & Compliance

- Payroll: lead the bi-weekly payroll process, ensuring accuracy and timeliness
- Licenses and Registrations: complete standard administrative work like annual business license forms, insurance renewals, employer reporting and more.
- Benefits and 401k Administration: manage annual renewals, communicate via chat with our staff (often in Spanish) and work with our benefits partners to ensure compliance
- Accounts Receivable (AR): ensure we are getting paid on a timely basis by our catering partners
- Accounts Payable (AP): review invoice scans from our staff to ensure bills reach our bookkeepers
- Nightly Closing: review end-of-day staff notes and cash and wastage logs

2. Catering Operations

- Handle Customer Inquiries: Work with catering clients to create order quotes and send invoices
- Order Coordination: Confirm catering requests, create labels, schedule deliveries, schedule kitchen staff and handle last-minute changes.
- Managing Couriers & Deliveries: Ensure timely pick-ups, communicate with delivery partners, and troubleshoot issues so orders reach customers on schedule.

3. Recruiting and Onboarding

- Write and Post Job Descriptions: create and post jobs to attract qualified candidates
- Initial Screening & Interview Scheduling: Conduct the first round of interviews (via video or phone) and schedule in-store interviews for qualified candidates
- Onboarding & Offboarding: help onboard, train and offboard employees, including working our CEO to develop better new hire training programs

4. Reporting

- Track popular items, service performance, and other operational metrics to help inform decisions.

Qualifications & Skills
- Excellent English Communication (written & spoken)
- Fast Learner & Doer: Able to complete tasks quickly and with high quality
- Highly Organized: Comfortable multitasking across catering, payroll, and administrative duties
- Strong Attention to Detail: Accuracy in data, scheduling, and record-keeping.
- Prior Experience running payroll or other administrative functions.
- Proficient with Spreadsheets (Google Sheets or Excel).
- Experience Supporting a U.S. Company is preferred.
- Reliable Availability: Must consistently work the assigned schedule in PST.
