JOB OVERVIEW

Role Overview
We are seeking a high-level, "Swiss Army Knife" Virtual Assistant to handle a mix of administrative operations, client-facing support, and creative social media tasks. This role requires someone who can seamlessly transition fro ---------- ticulous data management to professional phone outreach, all while maintaining a strong creative eye for social media.

Schedule: Monday through Friday, 9:00 AM to 5:00 PM US Eastern Time (ET)
Communication: Native or near-native English fluency is required for professional phone calls and client registration assistance.

Key Responsibilities

1. Professional Outreach & Registry Coordination
- Document Procurement: Contact professional offices to request, track, and follow up on necessary record releases and documentation.
- Client Registration: Assist clients through the registration process for specific tasks, ensuring all forms are completed accurately.
- Phone Outreach: Conduct professional follow-up calls to ensure documentation moves through the pipeline without delays.

2. Administrative & Data Operations
- File Management: Prepare and organize digital files with a high degree of precision.
- Systems Management: Update and maintain CRM data and appointment scheduling software.
- Inbox & Workspace Oversight: Monitor Google Workspace (Gmail) to ensure zero-inbox efficiency and timely responses.
- Spreadsheet Mastery: Use Google Sheets and Excel to track data, audits, and record reviews.

3. Social Media & YouTube Management
- Content Creation: Draft and design social media posts as requested.
- Video Distribution: Upload, optimize, and publish YouTube videos (titles, descriptions, and tags).
- Scheduling: Manage the publishing calendar across multiple platforms.

Required Skills & Qualifications
- Exceptional English: You must be comfortable and professional speaking on the phone with US-based offices and assisting clients.
- Eastern Time Zone Availability: You must be able to work synchronously with a US-based team during ET business hours.
- Obsessive Attention to Detail: You are the type of person who double-checks every link and attachment before hitting "send."
- Tech Proficiency: Mastery of Google Workspace (Sheets, Drive, Gmail), Excel, and CRM platforms.
