JOB OVERVIEW

About The Job:
Kasa Indian Eatery in San Francisco is looking for a detail-oriented, highly responsible virtual assistant to handle catering and restaurant operations during weekday and Saturday hours in Pacific Standard Time. This is a fun, high-energy, busy job where the mornings are spent working with our catering clients, partners and Kasa staff to ensure we get caterings out on time. You’ll spend your afternoons on a number of critical projects, including publishing weekly staff schedules, managing our online menus and working with store managers on inventory.

Work Hours:
Monday to Friday: 7:30a to 3:30p California time (1030pm to 630am Manila time)
Saturday: 2pm – 9pm California time (5am-12p Manila time)

Key Responsibilities:

1. Catering Operations

Handle Customer Inquiries: Work with catering clients to create order quotes and send invoices

Order Coordination: Confirm catering requests, create labels, schedule deliveries, schedule kitchen staff and handle last-minute changes.

Managing Couriers & Deliveries: Ensure timely pick-ups, communicate with delivery partners, and troubleshoot issues so orders reach customers on schedule.

Real-Time Problem Solving: Be the go-to person when on-the-spot issues arise during the morning rush.

2. Staff Scheduling & Coordination

Weekly Schedule: Create and publish the weekly shift schedule for our store teams

Daily Adjustments: make quick updates to the schedule based on special events or people being out sick.

3. Manage Menus

Update Menus & Pricing: update our menus, pictures and prices in our Point-of-Sale (Toast) and third-party delivery platforms (DoorDash, EZCater)

4. Inventory & Ordering

Weekly Inventory: Collaborate with store managers to do inventory and place orders
Vendor Coordination: Communicate with vendors for urgent or out-of-stock items, schedule deliveries, and track order status.

Qualifications & Skills
- Excellent / Advanced English Communication (written & spoken)
- Highly Organized & Proactive: Skilled at juggling multiple tasks, including scheduling, catering operations, and menu updates.
High Attention to Detail: Accuracy is essential when updating menus, scheduling staff, and coordinating orders.
- Problem-Solving Mindset: Able to think on your feet during a busy catering morning or sudden staffing changes.
- Technology Proficiency: comfortable with spreadsheets, learning new systems like Toast Point of Sale and third-party food platforms like DoorDash.
- Reliable Schedule Adherence: Must consistently work the assigned schedule in PST.
