We’re a growing a detailing company focused on providing high-quality automotive detailing services with a commitment to excellence, organization, and growth. We’re looking for a long-term Virtual Assistant Manager who can help us organize and scale our operations by managing backend systems, ensuring smooth team coordination, and improving daily efficiency.
The Virtual Assistant Manager will be responsible for overseeing the backend operations of the business — ensuring all systems, tasks, and communication flow seamlessly between management and the field team. You’ll be creating SOPs, managing Notion and google drive dashboards, coordinating with the team, helping with digital organization, managing social media posting schedules, and handling essential administrative tasks such as reordering supplies.
This role is key in helping the owner and operations manager stay focused on what matters most each day.
• Create and manage SOPs (Standard Operating Procedures) in Notion & google drive to streamline business operations.
• Build and maintain dashboards and systems on Notion/Drive for team tracking, performance, and project management.
• Coordinate daily with the team via Slack to ensure clear communication, task completion, and accountability.
• Attend daily morning meetings (via Zoom or Slack) for check-ins, updates, and task delegation.
• Assist with backend organization, scheduling, and tracking company operations.
• Manage and schedule social media content (basic posting, coordination with the marketing team, tracking engagement).
• Monitor and reorder supplies, ensuring the detailing team always has what they need on hand.
• Support management with ongoing administrative and digital tasks as needed.
• Proven experience as a Virtual Assistant, Operations Assistant, or Team Coordinator.
• Strong experience with Notion, Google Drive and Slack (required).
• Excellent organizational, communication, and problem-solving skills.
• Detail-oriented and proactive — able to anticipate needs and take initiative.
• Reliable, punctual, and comfortable with daily team check-ins.
• Basic knowledge of social media management tools (e.g., Meta Business Suite, Buffer, or similar).
• Tech-savvy and comfortable with digital systems, tracking tools, and online collaboration.
Preferred (but not required):
• Experience with service-based or field-service businesses (e.g., cleaning, detailing, maintenance, etc.)
• Experience creating SOPs or process documentation from scratch.
