Virtual Assistant (Fulfillment + Customer Updates)

Help create group video montages for customers (birthday videos, celebrations, etc.). We’re looking for a detail-obsessed Virtual Assistant to support our fulfillment process.

What you’ll do

1) Send submission update emails (same day)

When a new contributor video is submitted, you’ll email the customer who ordered the project.

The email must clearly say who submitted (name of the contributor).

This happens every time a new video comes in, so the customer can track who has and hasn’t submitted.

2) Add each submitted video into the project file

This step is very simple (two clicks), but it’s mission-critical.

Zero mistakes allowed — each video must be added to the correct project, every time.

3) Check readiness to finalize

Every time you send a submission update, you’ll also ask the customer if they’re ready for us to finalize the video.

Once the customer confirms it’s ready, you’ll mark the project as ready to finalize and we’ll send the compiled video for review.

4) Handle final confirmation

If the customer approves the review version, you’ll forward that approval to me immediately so we can deliver the final video.

- Extremely organized and responsive

- Excellent written English and friendly customer tone

- Strong attention to detail (accuracy matters more than speed)

- Comfortable following a simple step-by-step process every time
