Virtual Assistant (Client Management for Agency)

We are seeking a highly organized and proactive Virtual Assistant to support our agency in managing client relationships and ensuring smooth operations. The ideal candidate will be detail-oriented, communicative, and capable of handling multiple tasks efficiently. This role is perfect for someone who thrives in a fast-paced environment and enjoys providing exceptional support to both clients and tea ---------- mbers.

Responsibilities:

Act as the primary point of contact for clients, addressing inquiries, providing updates, and ensuring a positive client experience.

Schedule and coordinate client meetings, calls, and appointments using tools like Google Calendar or Calendly.

Manage client communication via email, Slack, or other platforms, ensuring timely and professional responses.

Maintain and update client records, project details, and deadlines in our CRM or project management tools (e.g., Notion, Trello, Asana).

Assist in onboarding new clients, including preparing contracts, gathering necessary information, and setting up accounts.

Track project progress and follow up with clients for feedback, approvals, or additional information as needed.

Handle administrative tasks such as preparing reports, organizing files, and managing invoices or billing.

Collaborate with the team to ensure client deliverables are met on time and to a high standard.

Identify opportunities to improve client management processes and enhance overall efficiency.

Requirements:

Proven experience as a Virtual Assistant, Executive Assistant, or in a similar role, preferably within an agency or client-focused environment.

Excellent written and verbal communication skills.

Strong organizational and time-management abilities, with the ability to prioritize tasks effectively.

Proficiency in tools like Google Workspace (Docs, Sheets, Calendar), project management software, and CRMs.

Ability to work independently and take initiative in a remote setting.

High level of professionalism and interpersonal skills to build strong client relationships.

Reliable internet connection and a quiet workspace for virtual meetings.

Bonus Skills:

Experience in the creative, marketing, or advertising industry.

Familiarity with social media platforms and basic digital marketing concepts.

Knowledge of tools like Zoom, Slack, or Canva.
