Santa Monica, California Based Eye Care Practice

We are a modern, fast growing, high end eye care practice in Santa Monica, California seeking an exceptional Virtual Assistant with strong management and administrative experience to join our team long term.

This is not an entry level position. We are looking for a highly organized, proactive professional who can confidently manage patient communication systems, support insurance and accounts receivable workflows, and help oversee call center operations with excellence and accountability.

The ideal candidate has previous experience managing or supervising a call center environment, possesses excellent spoken and written English with little to no detectable accent, and communicates with warmth, professionalism, and confidence.

Responsibilities

• Manage and oversee daily patient communication workflows
• Monitor scheduling efficiency and appointment confirmations
• Assist with insurance reconciliation and aging accounts receivable follow up
• Review unpaid claims, denials, and outstanding balances
• Communicate professionally with insurance companies and patients
• Help supervise and support virtual assistant tea ---------- mbers
• Ensure high standards in phone etiquette and written communication
• Track KPIs, workflow completion, and follow through
• Assist with patient retention and reactivation efforts
• Maintain professionalism, confidentiality, and accuracy in all tasks

Requirements

• Previous management or supervisory experience in a call center or customer service environment
• Experience with insurance reconciliation and accounts receivable required
• Excellent spoken English with a clear, professional American or British sounding accent
• Strong written English and professional email communication skills
• Highly organized with strong attention to detail
• Reliable internet connection and quiet work environment
• Ability to multitask in a fast paced healthcare setting
• Positive attitude and solution oriented mindset
• Long term career mentality and strong work ethic

Preferred Qualifications

• Healthcare or optometry experience preferred
• Experience with patient scheduling systems or EMR software
• Experience managing remote teams
• Familiarity with insurance claims follow up and collections

Compensation

Competitive compensation based on experience, skill level, communication ability, and leadership background.
