JOB OVERVIEW

REAL ESTATE TRANSACTION COORDINATOR / OPERATIONS VA (REMOTE)

We are a growing U.S.-based real estate investment company seeking a highly organized and detail-oriented Virtual Assistant / Transaction Coordinator to assist with acquisitions, title coordination, lending, insurance, and closing operations.

This is a long-term position with growth opportunities for the right candidate.

RESPONSIBILITIES

Contract Intake
Verify purchase price
Verify buyer entity information
Verify closing date and EMD
Verify title company information
Save contracts and documents into company systems

Title Coordination

Open title orders within 24 hours
Request title searches
Verify wire instructions by phone
Follow up with title companies every 48 hours
Track title issues and communicate delays

Lender Coordination

Submit contracts and borrower documents
Send LLC formation documents
Send rehab budgets when provided
Track underwriting conditions
Follow up with lenders regarding appraisal and loan progress

Insurance Coordination

Request insurance quotes
Provide required property information
Obtain insurance binders prior to closing

Appraisal Coordination

Order appraisals or confirm lender has ordered
Coordinate property access and lockbox information
Follow up every 2 days until completed

Communication & Reporting

Provide weekly updates to Acquisitions and Project Management teams
Escalate delays or urgent issues immediately
Maintain organized and accurate notes within company systems

Closing Duties

Review Closing Disclosure for accuracy
Confirm insurance binder delivery
Confirm verified wiring instructions
Coordinate signing schedules
Save and organize final closing documents

REQUIREMENTS

Excellent English communication skills
Strong organizational skills and attention to detail
Experience working in U.S. real estate preferred
Experience with title companies, lenders, or transaction coordination is a plus
Ability to manage deadlines and follow up consistently
Reliable internet and quiet work environment
Ability to work during U.S. Eastern Time business hours (partial overlap required)
