I am looking for a fitness-experienced Virtual Assistant to support an online coaching business which is rapidly growing (2mil+ followers across all platforms). This role is client-facing and requires someone who understands training, nutrition, and accountability, not just admin work. You will help maintain a high-touch coaching experience by communicating with clients weekly, assisting with program and meal plan creation, and supporting day to day coaching operations.
Here are some key responsibilities
-Client communication & accountability
-Send weekly check-in messages to clients
-Follow up with clients who miss check-ins, workouts, or nutrition logs
-Provide basic encouragement, reminders, and accountability (non clinical, non diagnostic)
-Escalate issues (injuries, stalled progress, concerns) to the head coach
Programming & nutrition support
-Assist in creating workout programs based on templates provided
-Assist in creating meal plans with clear portions, calories, and food options
-Input programs and meal plans into coaching software (Trainerize or similar)
-Make small adjustments based on coach direction
Operational support
-Track client compliance (workouts completed, check-ins submitted)
-Maintain organized client notes
-Help onboard new clients into the coaching platform
-Ensure clients understand where to find workouts, nutrition, and check-ins
Required experience & skills
-Background in fitness, personal training, nutrition, or coaching
-Understanding of macros, calories, portion sizes, and fat loss principles
-Comfortable with client messaging and professional communication
-Organized, reliable, and detail-oriented
-Able to follow systems and templates consistently
Nice to haves
-Experience with online coaching platforms (Trainerize, TrueCoach, MyFitnessPal, etc.)
-Experience working with online fitness clients
-Basic understanding of strength training programming
-Ability to work independently and manage multiple clients

-Paid per month, per client, or hourly (to be discussed)
