We’re a small, fast-moving family business with three brands, and we need a highly reliable, detail-obsessed Virtual Assistant to take low-value but critical tasks off our plate — so the Director can focus on growth.
This role will start at 5–10 hours/week (testing phase) with the intention to quickly increase to part-time and potentially full-time as we expand.
Your Core Mission
You’ll own the process of managing and updating product pricing, ensuring absolute accuracy across multiple platforms (Software like Shopify, Simpro, and connected apps).
Your role will be about consistency, diligence, and systemising workflows so our pricing accuracy is never a bottleneck again.
Key Responsibilities
- Pricing Management & Updates
- Regularly assess supplier price lists and update buy prices and RRP in Shopify and Simpro.
- Maintain accurate trade pricing via Shopify apps (e.g., Sparklayer).
- Handle quarterly price list updates across all platforms.
- Monitor brands we resell with pricing frequency; update accordingly.
- Update brand prices approximately monthly to quarterly.
- Cross-check pricing accuracy using a Shopify app called Prisync and ensure margins/profits align with targets.
Process & Systems
- Create clear, documented SOPs for repeatable tasks.
- Proactively suggest and implement automation or AI-assisted workflows where possible.
- Maintain structured records in Google Sheets for tracking updates, checks, and changes.
Collaboration
- Communicate with management about pricing anomalies, supplier changes, or margin issues.
- When a problem arises, bring two potential solutions — not just the problem.
Required Skills & Experience
- Proven Shopify and Shopify Apps experience. (Experience with Simpro software is a bonus)
- Google Sheets proficiency (formulas, filtering, sorting, data cleaning).
- Experience with numbers — pricing, margins, profits etc... (you know how to run the numbers)
- Extreme attention to detail — nothing slips through.
- Consistency and reliability — we can't have ongoing typical excuses like (“computer broke” or “power went out”).
- Experience using AI tools to increase efficiency and reduce manual workload.
- Strong organisational skills with the ability to document and improve processes.
- A systems thinker who can execute repetitive tasks with 100?curacy.
Nice-to-Have (Bonus) Skills
- Familiarity with Simpro.
- Social media content creation & scheduling (with AI tools to streamline output).
