Virtual Assistant for Mailchimp, Zapier & AI Automations – Real Estate Coaching Program

I’m looking for a highly skilled Virtual Assistant with expertise in Mailchimp, Zapier, and AI automation (including ChatGPT) to set up and manage email workflows, integrations, and automations for a real estate coaching program.

You’ll be responsible for streamlining and automating our processes, ensuring that emails, event follow-ups, and call transcripts are efficiently handled and delivered.

Responsibilities:
• Mailchimp Automations:
• Set up email sequences for:
• Weekly Flock Mastermind Invite (with topic teaser)
• Flock Mastermind Follow-up emails
• Agent Newsletter to the database
• Ensure new Zoom registrants are added to the correct email lists and tagged appropriately.
• Zapier Integrations:
• Automate the process of checking for new Zoom registrations and:
• Add them to a calendar invite
• Send a Skool community invite
• Add them to Mailchimp
• Set up triggers/notifications for event reminders and follow-ups.
• ChatGPT Automations:
• Implement an AI-generated call follow-up summary system to streamline follow-up emails.
• Ensure AI-generated transcripts are formatted and sent automatically after calls.

Requirements:
• Proven experience with Mailchimp (email automation, segmentation, tagging)
• Expertise in Zapier (workflow automation, triggers, and integrations)
• Familiarity with ChatGPT/OpenAI API for automated email summaries
• Experience with Zoom & Skool integrations is a plus
• Detail-oriented with strong problem-solving skills
• Ability to communicate effectively and work independently

Preferred Qualifications:
• Previous experience working with coaches, real estate professionals, or membership-based programs

Deliverables:
• Fully set up Mailchimp automation sequences
• Working Zapier workflows integrating Zoom, Skool, Mailchimp, and AI-generated summaries
• Clear documentation of the automation setup for easy future updates

Budget: Open to hourly or fixed-rate proposals, depending on experience.
