JOB OVERVIEW

Qualifications
- The ideal candidate will have experience in medical or psychiatric office settings, exhibit excellent communication skills, demonstrate a compassionate approach to patient interactions and be accessible to the team
- This role requires adherence to confidentiality and the ability to manage multiple administrative tasks efficiently
- Proven experience as a office assistant, receptionist, administrative assistant, or similar role, preferably in a medical setting
- Excellent communication skills, both written and verbal, with an emphasis on compassionate patient interaction
- Strong organizational skills and the ability to multitask and prioritize effectively in a fast-paced environment
- Proficiency in using medical practice management software, Microsoft Office
Suite and electronic health records (EHR)
- Understanding of basic medical terminology and basic private practice operations
- Familiarity with HIPAA regulations and commitment to maintaining patient confidentiality
- Self-motivated with the ability to work independently and as part of a team
- Virtual Assistant: 1 year (Required)
- Registered Nurse: 3 years (preferred)

Benefits
- $500-$700 depending on experience and skills

Responsibilities
- Manage and respond promptly to incoming calls and selected patient emails, ensuring high levels of patient service and confidentiality
- Schedule, confirm, and reschedule patient appointments, coordinating with the practitioners and patients effectively
- Respond to selected patient emails within 24 - 48 hours
- Assist in managing the practitioners’ calendar to optimize patient care and time management
- Help with administrative tasks such as patient record management, referrals and insurance information collection with attention to detail and accuracy
- Provide administrative support for practitioners’ reports, letters, and other documentation
- Facilitate communication between the Practitioners, patients, and other healthcare professionals as required
- Ensure confidentiality and secure handling of all patient information in compliance with HIPAA regulations and practice policies
- Assist with patient education and the dissemination of practice-related information under the guidance of the Practitioners
- Contribute to the improvement of administrative procedures and patient communication strategies
- Verification of benefits for insurance
- Prior authorizations
- Claim audits
