Role: Travel Concierge
Contract: Full-time Remote Contractor (44 hours weekly / 176 hours monthly)
Business Hours: Monday to Saturday with shift options:
> Monday to Friday from 10 AM to 7 PM EST
> Saturday from 10 AM - 2 PM EST
> (with lunch and breaks included)
Rate: $880 USD monthly / $10,560 USD annually
Availability to Start: Immediately

What you'll do

As a Travel Concierge, success in this role means ensuring the seamless operation of wedding planning activities by efficiently managing administrative tasks and supporting the team. It involves maintaining 100?curacy in scheduling, achieving a high satisfaction rate among clients and staff, and ensuring the timely execution of all responsibilities. Effective communication is key, with the goal of responding to emails, calls, and messages promptly. Success also includes improving social media engagement to enhance efficiency and service quality. Your key responsibilities will include:

> Administrative Support:
- Provide comprehensive administrative support to the CEO and the CEO's Executive Assistant, including managing schedules, drafting communications, and handling correspondence.
- Aid in invoice and contract creation for clients, and coordinate travel bookings for staff and the CEO.
- Attend staff meetings, create reports, and prepare presentations on behalf of the CEO.
- Generate new business leads and proactively follow up with potential clients.
- Demonstrate strong administrative skills, ensuring all tasks are completed with attention to detail and excellent organization.

> Event and Travel Coordination:
- Assist in scheduling client and staff events, managing the events calendar, and assisting with wedding itineraries and timelines.
- Source hotels and venues, identify unique destinations worldwide, and negotiate the best rates and packages.
- Create personalized travel itineraries and manage travel logistics.

> Social Media Management:
- Assist with content editing for social media postings, schedule content postings, and moderate social media platforms.
- Engage with comments, share stories, and user-generated content on social media.

What you should have

> At least two years of experience in positions such as Executive or Administrative Assistant, Operations Manager, Chief of Staff, or other relevant roles.
> Travel Concierge experience, including sourcing hotels and venues, creating travel itineraries, and negotiating rates and packages.
> Experience working directly with CEOs or multiple executives.
> Experience working remotely with a US, Canada, UK, or AU company.
> Proficiency in Google Workspace or Microsoft Office Suite (Docs, Sheets, Slides, etc.).
> Strong skills in drafting professional, clear, and concise communications.
> Experience handling staff communications, scheduling, and event coordination.
> Project management experience, including managing tasks, deadlines, updating assignees, and reporting (Trello or Asana experience is a plus).
> Experience managing client and vendor communications.
> Lead generation experience with a proactive approach to identifying and following up with potential clients.
> Outstanding organizational skills, excellent time management, and meticulous attention to detail.
> Ability to multitask and prioritize tasks effectively.
> Nice to Haves:
- Experience in event planning or wedding planning is a plus.
- Familiarity with South Asian customs is a big plus!
