Job Description
We are looking for a highly reliable, detail-oriented, and proactive Tenancy Manager Admin to join our team full time on a remote basis.
We manage a portfolio of residential properties in central London and need someone who is precise, organised, and able to handle important administrative tasks without mistakes. This is NOT a generic VA role. We need someone who can work carefully, follow procedures exactly, and take real ownership of their work.
This role involves handling sensitive tasks such as rent tracking, tenant administration, contract checks, move-in coordination, landlord and tenant communications, and general property management support (problem solving). Accuracy is absolutely essential.
Main Responsibilities
Update and maintain rent ledgers accurately
Track rent payments, arrears, and outstanding balances
Prepare and check tenancy documents, guarantor documents, and contract packs
Ensure all required documents and payments are complete before move-ins
Draft clear and professional
Solve and deal with maintenance issues through our trusted contractors
Follow up on maintenance issues and confirm completion
Keep spreadsheets, records, and internal systems fully accurate and up to date
Report any issue, discrepancy immediately and handle general admin tasks
Follow procedures carefully and double/triple-check all important tasks before completion
Requirements
Previous experience in property management, real estate admin, leasing support, or a similar role (Uk or US preferred but not essential)
Excellent written and spoken English
Very strong attention to detail
Highly organised and able to manage multiple tasks carefully
Able to follow instructions and procedures exactly
Good problem-solving skills and common sense
Comfortable using spreadsheets,
Able to work independently and take ownership of tasks
Honest, reliable, and consistent, and able to work under pressure
Important
This role requires a high level of accuracy. Mistakes in this position can have financial and operational consequences. We are looking for someone who naturally double-checks their work and is able to think outside the box and takes pride in getting things right.
